About the Role
The Sr. HR Coordinator supports the HR department in various administrative tasks, ensuring efficient operations. This role involves working with Associate records and data, assisting in compliance processes, coordinating meetings, and executing financial activities for the department. The ideal candidate will possess excellent organizational skills, a keen eye for detail, and a passion for supporting the workforce. Actively identifies opportunities to improve processes, increase efficiency, and support continuous improvement initiatives across HR operations.
Responsibilities
- Administrative Support:
- Assisting with day-to-day operations of the HR function and duties
- Completing vendor setup with Accounts Payable, executing purchase order set up and processing invoices for HR department
- Conducting review of monthly HR department financial statement to ensure no erroneous charges; raising questions or errors to the designated Accounting representative
- Coordinating with stakeholders the annual planning of designated holiday calendar
- Gathering content from key contributors for monthly HR scorecard presentations as well as content for the BISSELL GBU presentation
- Coordinating and executing the administrative tasks for the BISSELL Scholarship Process
- Maintaining annual HR calendar with key and critical processes, inclusive of key dates
- Scheduling meetings as necessary
- Ordering supplies for the HR department as-needed
- Supporting the team with physical mail coordination, including partnering with Facilities on equipment returns
- Compliance Assistance:
- Coordinating actions related to regulatory filings such as EEO-1, Vets-100, and disability reporting, California Privacy Act data submittals
- Coordinating Earned Income Tax Credit compliance actions with HR Business Partners and Communications team
- Data coordination and submittal for Bureau of Labor Statistics reports
- Validation of I-9 records for newly hired Associates
- Executing HR-related customer audit activities utilizing tools such as Ecovadis or SMETA
- Coordinating the reporting and resolution of the annual BISSELL Code of Conduct disclosures, including periodic status reporting
- Coordinating and monitoring completion of the annual Associate Handbook acknowledgements for global Associates
- Employment Support:
- Executing termination of employment activities in systems (Oracle, Darwin, Glint Survey)
- Sending HRIS Representative information related to a departing Associate and scheduling exit interview with necessary last day information
- Coordinating and executing tasks related to unemployment claims, including receiving claims, gathering documentation from HRBP’s, and submitting responses to unemployment departments in various states
- Executing onboarding activities including I-9 completion, creating and maintaining new hire Associate files, data entry into HCM, monitoring completion of background checks, new hire emails, IT onboarding requests, and new hire orientation schedule
- Maintaining job description library/database to ensure accessibility and version control; ensuring job descriptions are updated in standard format and retrieving for partners as-needed
- Following up on the completion of new hire performance reviews and escalating issues to the appropriate HR Business Partner as-needed
- Benefits Support:
- Reviewing and processing application forms for program reimbursement (e.g., tuition reimbursement, gym membership reimbursement, adoption assistance)
- Tracking wellness program participation
- Training and Development:
- Coordinating training sessions and seminars by sending calendar invitations, booking rooms, coordinating with presenters and the facilities team
- Communicating with session participants via email and MS Teams regarding training activities and logistics
- Executing reporting from LMS on a scheduled or ad hoc basis
- Monitoring the Learning@BISSELL inbox and escalating as-needed
- Assisting with administrative tasks for recurring learning and development events
- Additional duties as assigned
Requirements
- Skills & Abilities:
- Ability to communicate effectively, including proficient writing skills and ability to work with individuals at all levels of the organization
- Ability to work with, build relationships with, and engage with third-party organizations
- Ability to coordinate with HR functional team members in various areas/projects as needed
- Ability to work independently as well as part of a team in a fast-paced environment with multiple projects, tight deadlines, and changing priorities
- Demonstrated intellectual curiosity to propose continuous improvement solutions
- Top-notch organization skills and an eye for detail

- Ability to work in the office at least three days per week in Grand Rapids, Michigan
- Experience:
- Associate’s degree or equivalent experience; concentration in Communications or administration preferred
- 3-5 years of administration experience, preferably in an HR function
- Proficient in MS applications (SharePoint, Word, Excel, PowerPoint, Outlook, Teams, OneNote, etc.)
- Proficiency with AI tools such as Claude, CoPilot, or ChatGPT
- Proficiency with HR data systems (e.g., Oracle, Workday, SAP HCM)
- Ability to exercise discretion when handling confidential information
