About the Role

The Sr. Facilities Specialist will be a point of contact for internal and external customers seeking support and information from the Facilities organization. This role provides support to the Director of Workplace Services and the Facilities team, managing company functions including office security, security badge and access assignments, emergency alerts, health & safety, business continuity, sustainability, space planning, events coordination, work order management, daily office operations, and hands-on general support services for divisional staff.

Under the supervision of the Director of Workplace Services, the Sr. Facilities Specialist will manage all outside contractors in support of the Facilities Department, including records & contracts, and coordinate project activities as required.

Responsibilities

  • Assist in developing security protocols enterprise-wide; act as point of contact for local security-related incidents, including incident reporting, management, and liaising with Realtor.com and its parent company on all security-related events.
  • Develop and manage health & safety protocols, including ongoing management of the local safety program and conducting annual evacuation drills.
  • Manage local office security through video surveillance and badge access; create and assign keys, badges, and picture IDs as needed.
  • Assist in the ongoing development and daily management of the business continuity (disaster recovery) plan.
  • Manage the sustainability program, including quarterly data gathering in partnership with the company’s parent company.
  • Coordinate space planning projects, including planning, developing, and implementing departmental moves, workstation reconfigures, and adjustments.
  • Coordinate company events, including logistics, vendor service contracts, insurance, ordering, setup, breakdown, and cleanup.
  • Assist with maintenance of office/kitchen equipment, furniture, and fixtures.
  • Perform building engineer duties such as hanging whiteboards & TVs, furniture repair & assembly, patching & painting, and light plumbing/electrical/HVAC as needed.
  • Assist with regular maintenance and general upkeep throughout the facility to ensure a clean and safe working environment.
  • Order coffee/pantry/office supplies, facilities equipment, furniture, and fixtures as needed.
  • Provide general assistance to employees and manage work orders through an online ticketing system.
  • Perform administrative support activities relating to shipping & receiving, including mail delivery, processing incoming/outgoing UPS, FedEx, USPS, and assisting employees with shipping services.
  • Coordinate the retrieval of company assets while proactively managing the Workplace Services portion of the HR term tracker.
  • Liaise with vendors, building engineers, and property management team while fostering positive working relationships.
  • Collaborate with Workplace Services leadership and other Facilities team members throughout the Realtor.com enterprise.
  • Provide assistance and support on projects throughout the Realtor.com enterprise. Some travel may be required.

Requirements

  • 7+ years of experience in facilities operations or workplace services.
  • Project management experience with emphasis on developing and implementing policies and procedures.
  • Knowledge of office security and safety; Honeywell system management experience a plus.
  • Experience developing, implementing, and enforcing security and safety protocols, business continuity (disaster recovery) plans, and sustainability efforts.
  • Experience with OfficeSpace space planning software preferred.
  • Experience with The Receptionist or other visitor management software a plus.
  • Working knowledge of OSHA standards for office environments; health & safety certifications a plus.
  • Previous security management experience a plus.
  • Detailed and customer service-oriented with excellent written and verbal communication skills.
  • Ability to multitask in a fast-paced working environment.
  • PC literate with working knowledge of Microsoft applications.
  • Ability to lift 50 lbs. and cart 100+ lbs.
  • Hands-on experience making repairs and modifications to a building’s infrastructure and modular furniture.
  • Some travel may be required.

Schedule

This is an in-office, full-time position based in Scottsdale, AZ (hybrid/3 days in office), Monday through Friday, with after-hours and weekend availability as required.
