Sr Executive Assistant to the VP
About the Role
Consumers Energy is Michigan’s largest energy provider, delivering natural gas and/or electricity to 6.8 million residents across all 68 Lower Peninsula counties. This hybrid (virtual/onsite) position supports the Vice President of Human Resources and requires onsite presence at the One Energy Plaza headquarters in Jackson, MI on Monday, Tuesday, and Thursday. The selected candidate must be within a commutable distance or willing to relocate (a relocation package is available for those who qualify). This position is not eligible for immigration sponsorship, including H-1B, TN, CPT, OPT, or STEM OPT.
Responsibilities
- Serve as the primary resource between internal and external contacts, screening phone calls, inquiries, visitors, and correspondence.
- Maintain and manage the VP’s calendar, schedules, and travel arrangements, including air flights, ground transportation, and hotel accommodations.
- Review emails and correspondence to determine significance and respond appropriately.
- Track completion of required training for the VP and direct staff to align with corporate deadlines.
- Escalate employee concerns to the appropriate person or department for resolution.
- Facilitate annual HR processes, including cascading department goals, performance evaluations, merit cycle allocations, and reward and recognition requests.
- Coordinate and prepare materials for presentations, meetings, memos, letters, and reports, including research and summaries for operational and administrative problem-solving.
- Review contracts, Statements of Work, purchase requisitions, and memorandums of change to ensure compliance with policies and accuracy.
- Proofread and edit reports, documents, and meeting materials to resolve errors before submission.
- Arrange on-site and off-site meetings, including securing meeting space, accommodations, catering, IT assistance, agendas, and printed materials.
- Coordinate and produce Teams Live Events, including editing videos for recaps and distribution, and co-lead planning for department webcasts and summits.
- Run the VP’s Daily Operation Reporting meetings and leadership meetings, providing support in the VP’s absence.
- Register the VP for conferences and prepare itineraries and agendas.
- Attend monthly budget meetings, assist with budget management, and process invoices, requisitions, contracts, and other financial documents.
- Review and approve expense reports for the VP and direct staff, and provide training on the expense report process.
- Support VP direct reports by creating reports, updating internal databases (SharePoint, MS Teams, OneNote), and administering department business activities.
- Order office supplies and technology items as needed.
- Perform onboarding for new hires and offboarding for departing employees.
- Review and recommend improvements to operational practices and procedures, including workflow, reporting, and expenditures.
- Create internal surveys to gather data on internal processes and provide guidance on policies and procedures.
- Assist with long- and short-term department planning, including project milestones, timelines, and cascading updates to leadership and stakeholders.
- Other duties as assigned.
Requirements
- Bachelor’s degree in Business or related field and 4+ years of prior professional administrative experience, OR
- Associate’s degree in Business or related field and 6+ years of prior professional administrative experience, OR
- High School diploma and 8+ years of prior professional administrative experience.
- Ability to organize and prioritize multiple assignments in a timely manner.
- Excellent verbal and written communication skills.
- Strong interpersonal skills and discretion in handling confidential information.
- Proficiency in Microsoft Office Suite, with advanced skills in Microsoft Excel.
- Aptitude to learn new software and systems, including HCMs, DocuSign, Service Now, and Access Now.
- Proven ability to manage multiple projects simultaneously with strict attention to detail.
- Familiarity with graphic design software programs, such as Adobe Photoshop and InDesign.
