Sr. Executive Assistant, Investor Relations - Hybrid - CA/Remote

About the role
We are seeking an experienced Senior Executive Assistant to provide high-level administrative and operational support to the SVP, Investor Relations & Financial Communications. In this highly visible role, you will serve as a trusted partner, enabling executive effectiveness through exceptional organization, proactive planning, and seamless coordination across internal and external stakeholders. The ideal candidate is a highly resourceful professional who thrives in a fast-paced environment, exercises sound judgment, and handles confidential information with the utmost discretion.
This position is hybrid-eligible, allowing for some remote work but requiring travel to the assigned office location at least 2–3 days per week, depending on business needs. Domestic travel may include up to 10%. Must be legally authorized to work in the country of employment without sponsorship for employment visa status.
Responsibilities
- Serve as a trusted partner to the SVP, Investor Relations & Financial Communications by proactively managing a highly complex, fast-moving schedule; coordinating across time zones; protecting focus time; anticipating conflicts; and adapting quickly to shifting priorities in a fast-paced, constantly evolving environment.
- Coordinate internal and external meetings and executive logistics end-to-end, including agendas, briefing materials, pre-reads, meeting technology, travel, expenses, follow-up actions, and interactions with senior leadership, investors, analysts, advisors, and other internal and external stakeholders.
- Support the planning and execution of quarterly earnings activities, investor meetings, conferences, non-deal roadshows, governance-related coordination, and other high-visibility events, while creating structure, visibility, and operating discipline across deliverables, dependencies, risks, and deadlines.
- Build strong cross-functional relationships across Finance, Legal, Communications, HR, Executive Office partners, and external stakeholders to drive alignment, navigate a complex organization, solve problems proactively, and ensure nothing falls through the cracks in a disclosure-sensitive environment.
- Prepare polished, executive-ready presentations, reports, and communications, while handling highly confidential and sensitive information with professionalism, discretion, urgency, sound judgment, and exceptional attention to detail.
Requirements
- Bachelor’s Degree or higher AND 7 years of executive administrative, executive assistant, or related experience supporting senior leaders in a corporate environment
- OR High School Diploma/GED AND 11 years of executive administrative, executive assistant, or related experience supporting senior leaders in a corporate environment
- Seven (7) years of experience supporting SVP-level, C-suite, or other senior executives in a fast-paced, high-expectation environment with frequent change, tight deadlines, and competing priorities
- Experience managing complex executive calendars, domestic and international travel, detailed itineraries, expense reporting, and stakeholder coordination across multiple time zones
- Experience coordinating meetings and events end-to-end, including agendas, pre-reads, briefing materials, logistics, follow-up actions, and executive communications
- Experience preparing, editing, and formatting executive-ready presentations, reports, and business communications using Microsoft 365 applications, including Outlook, Teams, Word, Excel, and PowerPoint
- Experience handling highly confidential, sensitive, and disclosure-related information with discretion, professionalism, and sound judgment
Qualifications
- Experience in Investor Relations, Finance, Communications, Legal, or Executive Office environments within life sciences, healthcare, or MedTech organizations
- Experience supporting public company executives and working in earnings cycles, investor engagement activities, governance-related processes, or other disclosure-sensitive environments
- Experience supporting organizations through significant change, including spin-off, IPO, transformation, or integration environments
- Demonstrated ability to take ownership of operational processes end-to-end, proactively identify risks and conflicts, track deliverables and dependencies, and drive work to completion with minimal direction
- Skills include diplomacy, resourcefulness, persistence, strong emotional intelligence, comfort with ambiguity, and the ability to influence through credibility, relationships, and service rather than authority
Pay
The expected compensation range for this position is $73,600 - $101,200, which includes base pay plus variable incentive pay, if eligible. The specific compensation offered to a candidate may vary based on factors including, but not limited to, the candidate’s relevant knowledge, training, skills, work location, and/or experience.
