Responsibilities

  • Provide seamless day-to-day support to the CLO, including proactive calendar management, time prioritization, and coordination across time zones.
  • Anticipate scheduling conflicts, think ahead and make adjustments early to protect time and avoid last-minute disruptions.
  • Coordinate complex domestic and international travel in line with company policy, including itineraries, logistics, on the ground support, and bi-monthly expense reconciliation.
  • Manage the intake, routing, tracking and secure filing of legal documents requiring CLO review and signature - including internal governance documents, banking agreements, compliance certifications, and regulatory materials - ensuring proper version control and timely execution.
  • Liaise with the internal legal team and outside counsel to coordinate document approval workflows and ensure no deadline falls through the cracks.
  • Partner closely with the CLO and senior legal leaders to keep priorities moving and ensure strong follow-through.
  • Track key deliverables, decisions and action items to closure with integrity and accountability, escalating blockers when needed and following through without reminders.
  • Liaise with stakeholders to create, review and coordinate correspondence, spreadsheets, slide decks, meeting agendas and briefing materials.
  • Lead the planning and execution of events and offsites, from requirements gathering, venue coordination, budgets, contracts, payments and providing on-site support.
  • Build trusted relationships across functions and levels, communicating with professionalism, discretion and sound judgment in support of the CLO.
  • Identify inefficiencies and recommend process improvements that increase effectiveness for both the CLO and the broader legal team.
  • Take ownership of special projects as needed, showing initiative and strong judgment in ambiguous or fast-changing scenarios.
  • Manage day to day workload while staying calm under pressure, exercising judgment, and seeing beyond the day-to-day to anticipate changing needs.

Requirements

  • 8+ years of experience supporting senior legal executives, including experience in a law firm or in-house legal department supporting a General Counsel, Managing Partner or equivalent senior legal leader.
  • Demonstrated experience handling legal and governance documentation - including bank documents, corporate resolutions, compliance agreements, board materials, and signature packages - with precision and discretion.
  • Bachelor’s degree or equivalent professional experience preferred.
  • Proficiency with Google Workspace (Gmail, Calendar, Docs), Microsoft Office Suite, and video conferencing tools (e.g. Zoom). Familiarity of and use of AI tools is a plus.
  • Demonstrated ability to plan and manage complex calendars across time zones, with exceptional attention to detail and the ability to anticipate scheduling needs.
