About the role
The Sr. Executive Assistant will serve as a trusted partner to the CEO, managing the executive calendar, supporting the CEO's needs, and overseeing corporate and satellite office operations.
Responsibilities
- Manage the CEO's highly complex and dynamic calendar, prioritizing competing demands and optimizing time against business priorities.
- Prepare meeting materials, coordinate logistics, and ensure appropriate follow-up to drive alignment and execution.
- Lead and oversee corporate and satellite office operations, ensuring a seamless, efficient, and high-quality workplace experience.
- Supervise facilities activities, security badge administration, and report on attendance.
- Drive facility and workplace initiatives, including office layout planning, moves, and improvement projects.
- Oversee administrative operations across locations, ensuring consistency, efficiency, and continuous improvement of processes and services.
- Manage office and facilities budgets, including invoice tracking, purchase order management, and vendor coordination.
- Leverage strong digital acumen to optimize tools and introduce innovative approaches to improve productivity and workflows.
- Facilitate effective communication across all levels of the organization through clear, concise, and professional interactions.
- Identify opportunities to streamline processes and enhance operational efficiency, implementing best practices and sharing knowledge.
- Support the Chairman of the Board and Board of Directors with logistics for meetings, roadshows, and executive events.
- Oversee office interactions and stakeholder requests, ensuring responsive and solutions-oriented service.
- Contribute to the onboarding of new team members, providing a positive and well-coordinated introduction to the organization.
- Perform additional executive and administrative responsibilities as needed to ensure the effectiveness and success of leadership and the broader organization.
Requirements
- Prior proven ability to manage teams and support executives.
- Proven ability to handle confidential matters with tact and diplomacy.
- Experience in most of the business support functions: administrative services, office services, maintenance, event planning/corporate events.
- Comfortable working in a fast-paced office environment.
- Excellent written and verbal communication skills.
Qualifications
- No minimum education specified.
- At least 5 years of relevant work experience.
Skills
- Business software applications, specifically Microsoft Office Suite and/or Office 365 Pro.
