About the role

We are seeking a Sr. Events Planner II (Hybrid) for our Corporate Services team based in Chicago, IL. This role requires 3 days a week in the office and involves managing and supervising AMA-sponsored meetings and providing support for internal and external events.

Responsibilities

  • Coordinate and manage exhibit booth requirements
  • Manage internal and external meetings and events in-person, virtually, and hybrid
  • Develop timelines and advise on resource availability for current and incoming projects
  • Oversee and implement safety, security, and emergency protocols for assigned meetings
  • Select sites, negotiate rates, and execute contracts
  • Serve as a liaison between the Group and internal stakeholders including finance and legal
  • Build and maintain relationships with hotels and vendor suppliers
  • Track the budget and guide the BU on budget development
  • Reconcile pre/post-show reports and post-event billing, ensuring timely payments
  • Avoid chargebacks and provide financial reporting related to event platforms
  • Assess repeat meetings and recommend innovative meeting approaches
  • Create event pages using CVENT Event Management
  • Monitor and generate reports for CVENT Event Management
  • Provide online and onsite registration support for events, including processing registrations and payments

Requirements

  • Associate’s degree required, bachelor’s degree preferred
  • Minimum 5+ years' experience in meeting-related field: registration, and planning required
  • Certified meeting planner (CMP) preferred
  • CVENT certification preferred
  • Excellent time management skills – works well under pressure, able to respond quickly and calmly to last-minute changes
  • Strong interpersonal and communication skills both verbal and written to interact with staff at all levels with mutual respect; demonstrated ability to handle complaints and problems in a congenial, efficient, service-oriented manner
  • Strong planning and organization skills to meet deadlines and handle different stages of multiple meetings simultaneously
  • Excellent computer skills and proficiency with Microsoft Office, Windows 10, Teams, and Zoom, and some experience in registration and meetings management related software packages
  • Experience managing budget required
  • Familiarity with vendor management and rate negotiations
  • Familiarity with nonprofit sectors and health care industry preferred
  • Some travel required
  • Some evening and weekend work required
