Key Responsibilities
- Plan and execute the migration of mailboxes, shared mailboxes, distribution groups, and related configurations from on-premises Exchange to Exchange Online / M365.
- Identify and document production business processes and external-facing mail flows dependent on the on-prem environment; coordinate with business stakeholders to remediate or migrate each dependency prior to cutover.
- Validate mail flow, routing, and delivery integrity throughout migration phases; manage cutover events with minimal user disruption.
- Contribute to the decommission plan for the on-premises Exchange server, ensuring a clean, well-documented transition to the cloud-centric operating model.
- Configure and maintain Exchange Online settings including transport rules, connectors, hybrid configuration, and mail-flow policies as needed throughout the coexistence period.
- Administer day-to-day Exchange Online and Google Workspace operations: mailbox provisioning, distribution lists, shared mailboxes, resource accounts, and directory synchronization.
- Implement DLP policies, message encryption, sensitivity labeling, and retention policies as defined by the Security and Compliance teams.
- Support eDiscovery requests, litigation holds, archiving, and journaling configurations in coordination with Legal and Compliance.
- Automate routine administration and reporting using PowerShell (Exchange Management Shell, Microsoft Graph) and Google Workspace Admin tools.
- Define and maintain SLAs for messaging services; proactively monitor platform health and remediate degradation before it impacts users.
Messaging & Collaboration Administrator Support
- Contribute to general End User Services support — desktop, M365 productivity applications, hardware, and common user issues — when not actively engaged in messaging administration duties.
- Serve as the escalation point for complex messaging issues from the help desk; resolve issues quickly and reduce repeat incidents through root-cause analysis and documentation.
- Minimize false-positive filtering impact on end users; communicate service changes and maintenance windows clearly to affected stakeholders.
- Develop and maintain user-facing guidance and self-service resources for common messaging tasks.
Documentation & Cross-Team Collaboration
- Maintain runbooks, SOPs, and configuration documentation for all messaging platforms; keep documentation current as the environment evolves through migration phases.
- Partner with the Security team to implement email hardening controls within the messaging platforms.
- Collaborate with Network, Identity (Okta / Azure AD / Entra ID), and other IT teams on dependencies that intersect with mail flow and directory services.
- Participate in vendor support interactions with Microsoft, Google, and Proofpoint; escalate and track cases to resolution.
- Communicate service status, migration progress, and incidents clearly to IT leadership and relevant business stakeholders.
