Sr. Coordinator, Sports Experiences
About the role
As the Sr. Coordinator, Sports Experiences you will focus on the ideation and execution of travel and hospitality experiences for our direct-to-consumer motorsports/Barret-Jackson products. You will support Directors, Managers, and collaborate with other Coordinators to create a positive, efficient environment centered on excellence. The role involves coordinating all activities related to the sales and execution of travel and hospitality events for motorsports/Barret-Jackson, while partnering with the On Location IT Compliance team to support, implement, and improve controls, remediate deficiencies, and resolve negative outcomes across business processes and technologies.
Responsibilities
- Manage budgets, including reconciliation, documenting savings and variances, and forecasting.
- Create and manage direct-to-consumer offerings to meet annual budget goals for motorsports/Barret-Jackson.
- Collaborate with Barrett-Jackson, NASCAR, SMI, IMS, and local track contacts to improve efficiencies, enhance experiences, and drive revenue.
- Negotiate and manage contracts with preferred vendors for event services, hotels, food and beverage, transportation, destination management, restaurants, and other industry-related vendors.
- Work with team leaders to adjust, document, and implement new event processes using proprietary Event Management System(s).
- Establish operational accountability (e.g., checklists, quality assurance tests) and share best practices across event teams.
- Propose new ideas to create efficiencies, improve experiences, and increase revenue.
- Manage key client relationships with both existing and new clients.
- Collaborate with vendors for all aspects of event execution.
- Assist in developing, documenting, and implementing event procedures and systems.
- Identify and implement operational efficiencies.
- Drive continuous quality improvement initiatives.
- Work with event and customer service teams to identify improvement opportunities and develop training materials.
- Conduct Event Team and Leadership Team meetings regularly.
- Provide leadership and feedback on process development and improvement.
- Contribute to performance reviews, bonuses, and merit increases.
Requirements
- Bachelor’s Degree in Hospitality, Sports Management, Marketing, Business, or a related field, or equivalent experience.
- Minimum of 3+ years in a management position, preferably in motorsports/Barret-Jackson.
- Experience managing or selling direct-to-consumer offerings.
- Project Management Office experience and adeptness in creating cost/time estimates.
- Proven ability to analyze, organize, summarize, and articulate complex information for diverse audiences.
- Exceptional communication, interpersonal, and presentation skills.
- Advanced proficiency in Microsoft Office, particularly Excel and PowerPoint.
- Self-motivated, able to handle pressure, and work efficiently in a fast-paced environment.
Preferred Qualifications
- Experience with Sports and Events Operations.
- Background in the Travel & Hospitality industry.
- Experience managing hospitality events (e.g., receptions, parties).
Travel
Must be adaptable with work and travel schedule, including availability during holidays and key event times. Estimated travel requirement is 30%.
