About the role

We are seeking a highly motivated and experienced Senior Coordinator to support key leaders within our EBS Guided leadership team. As a trusted partner to senior leadership, you will play a critical role in managing complex schedules, coordinating business priorities, and ensuring the smooth execution of day-to-day operations. This position is ideal for someone who thrives in a fast-paced environment, demonstrates exceptional attention to detail, exercises sound judgment, and takes ownership of responsibilities with confidence, professionalism, and a proactive mindset. The successful candidate will be resourceful, adaptable, and committed to delivering high-quality support while building strong relationships across the organization.

Responsibilities

  • Manage complex and frequently changing calendars for up to four senior leaders, balancing competing priorities and navigating scheduling conflicts across multiple stakeholders and time zones.
  • Provide high-level administrative support in a fast-paced executive environment, ensuring leaders are organized, prepared, and positioned for success.
  • Coordinate meetings, appointments, and business activities, including scheduling, agenda preparation, meeting logistics, and follow-up actions as needed.
  • Exercise sound judgment and discretion when handling highly sensitive, confidential, and proprietary business information.
  • Proactively anticipate the needs of senior leaders, identify potential issues, and implement solutions before challenges arise.
  • Take ownership of projects and administrative processes, demonstrating initiative, accountability, and a commitment to continuous improvement.
  • Build strong working relationships with internal and external stakeholders, serving as a trusted partner to leaders and cross-functional teams.
  • Collaborate effectively across departments to support business priorities, facilitate communication, and drive operational efficiency.
  • Manage competing priorities while maintaining a high level of accuracy, responsiveness, and attention to detail.
  • Support team events, leadership meetings, presentations, and other business activities as needed.
  • Perform additional administrative duties, special projects, and ad hoc assignments in support of business objectives.

Requirements

  • 5+ years of administrative or executive assistant experience supporting senior leaders in a professional, fast-paced, and high-profile environment.
  • Demonstrated experience managing complex calendars, coordinating across multiple stakeholders, and balancing competing priorities.
  • Exceptional organizational and time management skills, with the ability to manage multiple projects simultaneously and meet tight deadlines.
  • Strong written and verbal communication skills, with the ability to interact professionally and confidently at all levels of the organization.
  • Proven ability to work independently while also contributing effectively as part of a collaborative team.
  • Intermediate to advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Experience leveraging AI-powered productivity tools is preferred.
  • Strong relationship-building skills with the ability to establish credibility, trust, and effective partnerships across the organization.
  • Excellent problem-solving abilities, adaptability, initiative, and a customer-service mindset.
  • Experience coordinating schedules and meetings across multiple time zones and geographically dispersed teams.
  • High attention to detail and ability to maintain accuracy while managing a significant workload in a dynamic environment.
  • Demonstrated ability to handle confidential, sensitive, and business-critical information with discretion, professionalism, and integrity.
  • Strong sense of ownership, accountability, and follow-through, with a proactive approach to identifying and addressing business needs.

Pay

A reasonable estimate of the base salary range for this role is 50,000 USD - 69,000 USD. Actual salaries may vary based on factors including, but not limited to, education, training, experience, professional achievement, business need, and location. In addition to base salary, employees will participate in either an annual bonus plan based on company and individual performance, or a role-based, uncapped sales incentive plan.
