About the role
Manage, coordinate, and directly support the administrative and business management, and/or staff activities within a Process/Department. Ability to think and act on your own initiative in providing process management of financial, human resource, and administrative support functions.
Responsibilities
- Advises applicants on application process, requirements, and deadlines.
- Advises students individually regarding their nursing program qualifications.
- Serves as support staff for Graduate Admissions and Progression Committees; schedules meetings, sends meeting requests to committee members, composes meeting minutes, and distributes for review/approval.
- Develops and maintains confidential student databases for registration, program planning, inquiry, application, and graduation, including retrieving information from NCAS, mySTAR, and other platforms to compile data for committee review and decisions.
- Gathers applicants’ information in NCAS and sends it to the program director to assign faculty for review and recommendations.
- Develops relationships with faculty, track administrators, and directors to facilitate problem resolution of application and new enrollment issues.
- Ensures all student transactions are handled accurately and consistently in line with School of Nursing (SON) and UTMB policies.
- Coordinates communications to Graduate Admissions and Progression Committees for students seeking transfers or credit from courses taken outside of UTMB.
- Composes program and admissions process correspondence (acceptance, denial, incomplete files, etc.) and prepares letters for the signature of the Associate Dean of Office of Admissions and Student Affairs.
- Updates applicant status in mySTAR and sends correspondence to all applicants once decisions are rendered.
- Follows up with admitted applicants to ensure they accept by the deadline; updates status in mySTAR if an applicant declines.
- Creates badge requests for new incoming students, including generating work orders and arranging pickup from Campus Police. Processes badge updates for students returning from leave, name changes, or new graduation dates.
- Maintains confidential, secured, and up-to-date student records and files.
- Serves as staff liaison for students with Enrollment Services, Moody Medical Library, Student Health Services, Bookstore, Office of Institutional Analysis, Campus Police Badge Office, Information Services, and Financial Aid.
- Forwards incoming student lists to academic programs staff to generate student email distribution lists.
- Assists with Castle Branch additions/deletions for all incoming graduate and certificate students and sends lists for clinical site clearances.
- Acts as backup for front desk personnel, BSN admissions coordinator, and BSN admissions advisor.
- Assists with BSN pre-admissions advising, including transcript evaluations.
- Assists with office activities such as distributing mail, answering telephones, and taking messages for the Office of Student Affairs and Admissions.
- Provides general information to prospective applicants and students upon request.
- Participates in special events and projects of Student Affairs and Admissions, such as student orientation, Commencement, White Coat Ceremony, recruitment events, career fairs, Open Houses, and Curriculum Committee meetings.
- Provides assistance to Undergraduate and Graduate Program Faculty as needed.
- Promotes a positive work environment through professional and appropriate interpersonal interactions.
- Adheres to internal controls established for the department.
- Performs related duties as required.
