Job Overview
This role will provide administrative and secretarial support to the PDC Manager, Supervisors, and personnel.
Responsibilities
- Provide administrative support to PDC Site Leader and Team Leaders, including preparation of correspondence, handling and screening incoming calls, meeting visitors, and directing them to the proper department.
- Process material requests, service requests, purchase orders, receipts, and vendor invoices accurately and timely according to company policies.
- Compile and verify procard records in the PVS system.
- Prepare and submit contracts and addendums to subcontractors and the HO Purchasing department for approval.
- Administer the PDC Petty Cash Fund.
- Maintain and update subcontractor files in compliance with ISO Standards.
- Assist the PDC Site Leader in ensuring compliance with Human Resources policies and procedures.
- Screen employment applications, inform new employees of benefits and company policies, and process and maintain personnel records, disability, and Worker’s Compensation claims.
- Maintain the Time & Attendance system/records for all PDC employees.
- Ensure stocking and timely reordering of office and lunchroom supplies, selecting the most competitive supplier.
- Obtain proposals and select the most competitive supplier for maintenance and rental services (e.g., janitorial services).
- Initiate procurement of services and coordinate repairs or maintenance as needed.
- Monitor the quality and service of repairs or maintenance.
- Maintain fixed assets inventory records, files, and handle mail distribution.
- Verify monthly budget comparison statements and analyze discrepancies.
Qualifications & Requirements
- High School Diploma (GED) or equivalent work experience.
- PDC courses in various MBUSA Office Software.
- Minimum of 3-5 years of office and/or administrative experience.
- Three to six months of experience with Purchasing Policies and Procedures System.
- 1-3 years of experience in:
- Administration: Knowledge of administrative procedures, process/project development, and system procedures.
- Business - General: Knowledge of fundamental business practices and concepts impacting organizational success and profitability.
- Human Resources: Knowledge of principles and procedures for Compensation and Benefits, Employee Relations, Recruitment and Selection, and HRIS.
