The Sr. Associate, Calendar Operations supports calendar management, milestone tracking, and cross‑functional coordination throughout product creation and creative development. Working closely with Design, Product Development, Merchandising, and Creative teams, this role ensures priorities, deliverables, and deadlines are communicated clearly and executed on time.

Responsibilities

  • Support the creation and maintenance of seasonal product creation calendars, ensuring accuracy and adherence to brand timelines and priorities.
  • Prioritize and respond to time‑sensitive business needs, including executive and management‑led requests, with urgency, accuracy, and follow‑through.
  • Partner with cross‑functional teams to align milestone schedules and secure meeting timing in advance of each season.
  • Execute calendar updates and scheduling changes with precision, keeping all stakeholders informed and aligned.
  • Anticipate scheduling conflicts, identify risks to key milestones, and proactively develop backup plans and alternative solutions.
  • Facilitate weekly cross‑functional milestone meetings, driving accountability and timely resolution of issues impacting deliverables.
  • Collaborate with the Executive Assistant function to ensure milestone meetings are scheduled, confirmed, and executed according to established processes.
  • Support continuous‑improvement initiatives that enhance calendar discipline, operational efficiency, and on‑time execution across the product lifecycle.
  • Serve as a central point of communication between the Director of Calendar Operations and Merchandising, Design, and Product Development, sharing priorities, risks, decisions, and deadlines.
  • Maintain regular communication with cross‑functional partners, providing visibility into milestone progress, escalating issues, and ensuring alignment on business priorities.
  • Facilitate cross‑functional meetings, capture clear and actionable recaps, and communicate decisions, next steps, and ownership promptly.
  • Build and maintain strong relationships, trust, and credibility across Merchandising, Design, Product Development, Production, Licensing, and Creative teams.
  • Act as a trusted partner who drives alignment, influences decision‑making, facilitates collaboration, and ensures timely execution of critical business priorities.

Qualifications

  • 4+ years of Project Management, Operations, Calendar Management, or related experience in a fast‑paced retail, fashion, or consumer products environment.
  • Bachelor’s degree required.
  • Proven ability to manage complex, rapidly changing calendars, competing priorities, and time‑sensitive deliverables with high accuracy.
  • Strong proficiency in Microsoft Outlook, including scheduling, calendar management, and coordination of complex meetings.
  • Exceptional attention to detail with a commitment to accuracy, follow‑through, and high‑quality work.
  • Excellent communication skills with a proactive, service‑oriented approach.
  • Forward‑thinking: anticipate conflicts, identify risks, and develop proactive solutions and backup plans.
  • Self‑sufficient and resourceful; able to work independently with minimal supervision.
  • Highly organized with strong time‑management skills; thrives under pressure in a fast‑paced environment.
  • Ability to follow established processes while adapting quickly to changing business needs.

Pay

Compensation range: $85,000 – $110,000 USD, based on relevant experience and work location.
