Sr. Associate, Administrative Assistant (GMSA Oncology TA)
About the role
The Sr. Associate, Administrative Assistant position resides in the Value & Implementation (V&I) organization, which includes Global Medical and Scientific Affairs as well as Outcomes Research. This role supports the Associate Vice President and Executive Directors within GMSA Oncology, assisting with administrative functions and committee work.
Responsibilities
- Manages complex calendars, prepares correspondence and reports, and handles confidential and politically sensitive issues.
- Serves as an initial point of contact for and liaison to outside visitors, clients, and vendors.
- Captures and coordinates multiple tasks while understanding project principles and technical skills related to own work assignments.
- Prioritizes work activities with little supervision.
- Schedules interviews, coordinates hiring and on-boarding of new hires, and handles resignations/off-boarding.
- Processes purchase orders, payment requests, and vendor add forms using SAP, runs reports within SAP, and uses Concur for expense reports.
- Communicates and interacts effectively with company executives and internal/external clients both onsite and remotely to maintain workflow.
- Coordinates special projects within the division or area.
- Demonstrates company leadership behaviors, dealing with difficult situations and people diplomatically and effectively.
- Schedules complex travel arrangements, including multi-leg domestic and international travel.
- Handles visa and passport processing.
- Performs some event planning and coordination.
- Exhibits extraordinary attention to detail.
- Manages financial and budget tasks proactively.
Requirements
- At least 8 years of administrative experience.
- At least 3 years supporting senior leadership roles.
- Advanced analytical ability, independent judgment, creativity, and problem-solving capabilities.
- Advanced proficiency in MS Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools; ability to create executive-ready materials.
- Experience scheduling complex, multi-leg domestic and international travel.
- Demonstrated experience processing visa and passport applications.
- SAP or equivalent ERP experience processing expense reports and basic financial tasks.
- Exceptional communication skills to interact effectively with executives and internal/external stakeholders, both onsite and remotely.
- Extraordinary attention to detail.
- Proactive, self-directed, comfortable making decisions with incomplete information, and a well-developed sense of when to seek executive alignment.
- Strong organizational skills and ability to handle and prioritize simultaneous assignments.
Preferred Skills
- Advanced education or certifications (e.g., Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification).
- Event planning experience.
Benefits
The salary range for this role is $82,700 - $130,200. An employee's position within the salary range will be based on several factors including, but not limited to, relevant education, qualifications, certifications, experience, skills, geographic location, government requirements, and business or organizational needs. The successful candidate will be eligible for annual bonus and long-term incentive, if applicable.
