About the role

The Sr. Administrative Specialist of Student Affairs and Wellness Initiatives at the Beasley School of Law reports to the Assistant Dean for Students and Strategic Initiatives and is responsible for coordinating the communications and activity of the Law School Office of Student Affairs. This position is the primary contact for the department and is the first point of contact for direct walk-in and email inquiries. The Sr. Administrative Specialist will deliver accurate and timely information and be knowledgeable in all functions of student affairs and student records to provide accurate first response to inquiries. While working directly with the departmental staff, the incumbent will provide office assistance, track initiatives, follow up on deadlines, organize student data, and draft communication on behalf of the office. This position will provide a high level of administrative support to the Assistant Dean and Directors in the department as it relates to academic initiatives, academic operations, exams, correspondence, record keeping, and wellness initiatives. The individual in this position with have thorough understanding of the department, law school, and university procedures and must be able to communicate these procedures to faculty, staff, and students as needed. This position will also coordinate the law school wellness initiatives, a large volume of internal and external records, the office calendar and activities, and assist in all aspects of student-facing programming such as orientation, registration, exam administration, and commencement. The successful candidate will have the ability to detect student needs and will possess a sensitivity towards difficult and unique situations. Performs other duties as assigned.

Responsibilities

  • Coordinate communications and activity of the Law School Office of Student Affairs
  • Serve as primary contact and first point of response for walk-in and email inquiries
  • Deliver accurate and timely information on all student affairs and student records functions
  • Provide office assistance and track initiatives
  • Follow up on deadlines and organize student data
  • Draft communication on behalf of the office
  • Provide high-level administrative support to the Assistant Dean and Directors for academic initiatives, academic operations, exams, correspondence, record keeping, and wellness initiatives
  • Communicate department, law school, and university procedures to faculty, staff, and students
  • Coordinate law school wellness initiatives
  • Manage a large volume of internal and external records
  • Maintain the office calendar and activities
  • Assist in student-facing programming including orientation, registration, exam administration, and commencement
  • Detect student needs and exercise sensitivity towards difficult and unique situations

Required Qualifications

  • At least three (3) years of directly related administrative experience
  • Experience effectively communicating with internal and external constituents
  • Demonstrated customer service experience
  • Experience scheduling and supporting events and meetings
  • Demonstrated computer skills including Microsoft Office Suite (Word, Excel, and PowerPoint)
  • Strong customer service skills with the ability to effectively interact with a diverse group of students, faculty, and staff
  • Demonstrated organizational skills with the ability to work independently and prioritize tasks
  • Strong attention to detail and accuracy
  • Ability to plan and execute programs under a deadline
  • Excellent organizational, communication and interpersonal skills
  • Ability to work independently on projects
  • Ability to work on nights and/or weekends, if necessary

An equivalent combination of education and experience may be considered.

Preferred Qualifications

  • Bachelor's degree
  • Experience working in a higher education administrative setting

Pay

Hourly Rate Range: $17.60 – $22.70 per hour. A variety of important factors are reviewed by HR when considering salary, including job duties, the applicant's education and experience, all relevant internal equity considerations, department budget, and funding source.

This position is assigned a hybrid work arrangement (on-campus and remote), the duration of this hybrid work arrangement is at the discretion of Temple University and the Department.
