About the role

The role oversees a broad range of administrative and clerical duties in support of department operations. It directs workflow, ensures a consistent and professional appearance in all communications, assists with research, and provides administrative support to special projects. It also makes recommendations to management on process improvement, new processes, tools, and techniques. It works with sensitive and confidential information, often involving the interpretation of policies and procedures. It assists with orienting and providing on-the-job skills training to others.

Responsibilities

  • Oversees clerical and administrative activities for the Director, including processing correspondence, answering the telephone, scheduling meetings/appointments, making travel arrangements, and maintaining employee department files.
  • Creates documents, tracks budgets, and assists with special projects.
  • Maintains current calendar of the Director.
  • Prepares all departmental memos, agendas, minutes, and reports.
  • Copies, distributes, and files reports/memos/records as requested.
  • Collaborates with other hospital departments to coordinate departmental/program functions.
  • Conducts research for the Director.
  • Captures and coordinates arrangements for meetings, including notification, preparing material, reserving rooms and equipment as needed.
  • Performs special projects/events (e.g., conferences, in-services, and presentations).
  • Prepares all departmental memos, agendas, minutes, and reports.
  • Organizes and maintains systematic records and reports.
  • Assists with ordering supplies and maintaining inventory of all supplies, as needed.
  • Ensures files are current, accurate, and complete.
  • Performs other job-related duties as assigned.

Requirements

  • Education and Work Experience: High School Education/GED or equivalent. Preferred Associate's/Technical Degree or equivalent combination of education/related experience. Preferred Two years' administrative and clerical experience in a healthcare setting.

Pay

The estimated base pay for this position is $19.53 to $29.26. Additional individual compensation may be available for this role through differentials, extra shift incentives, bonuses, etc. Base pay is only a portion of the total rewards package, and a comprehensive benefits program is available for qualifying positions.
