Institution of Higher Education – Administrative position located onsite at one of Oregon Tech’s campuses (negotiable between Portland-Metro / Wilsonville, OR and Klamath Falls).

About the Role

The Sponsored Projects Financial Manager (SPFM) is a key partner in the financial and administrative management of externally funded projects from proposal development to closeout. This position provides strategic financial oversight of Oregon Tech’s sponsored projects portfolio, ensures compliance with sponsor and institutional requirements, and supports principal investigators (PIs) and departments in effectively managing sponsored project resources.

The SPFM works closely with the Business Affairs Office (BAO) grant accounting to prepare and monitor grant-related accounting transactions, submit invoices, and maintain accurate financial and administrative documentation. The role advises PIs, faculty, and administrators on fiscal matters, performs analyses, develops special reports, and delivers training on grant budget development and management.

The position reports to the Director for Sponsored Projects and Grants Administration and collaborates with the University Development Office, the university Foundation, and the Assistant Director of BAO to ensure grants are set up in the financial system according to sponsor-approved guidelines, cost-sharing accounts are established, and grant close-outs are performed in accordance with university procedures.

Responsibilities

  • Manage the financial administration of grants and sponsored projects, ensuring compliance with Federal and State laws, funding agency regulations, award terms, and Oregon Tech policies.
  • Prepare and submit required financial reports and progress/activity reports to sponsoring agencies.
  • Collaborate with BAO grant accounting to ensure timely submission of invoices and accurate supporting documentation.
  • Advise PIs, faculty, and administrators on fiscal matters related to grants and contracts.
  • Perform financial analyses and develop special reports as needed.
  • Provide training to faculty on grant budget development and management.
  • Maintain fiscal records and reports required for cost-sharing to sponsors.
  • Ensure grants/projects are set up in the university financial system according to sponsor-approved budget guidelines.
  • Establish cost-sharing companion accounts to segregate expenditures.
  • Perform grant close-outs in accordance with university procedures.
  • Regularly travel between the Klamath Falls and Portland-Metro campuses and other locations for meetings, workshops, trainings, and Oregon Tech-sponsored programs.

Requirements

  • Bachelor’s degree in business, Accounting, Finance, Public Administration, or related field.
  • Three years’ experience in a business-related field, financial management, accounting, grant, or sponsored projects administration.
  • Experience preparing journal entries, posting from journals to general ledger, or preparing original general ledger entries.
  • Experience reconciling accounts and financial transactions.
  • Experience delivering training or guidance to non-financial audiences.
  • Experience with Enterprise Resource Planning (ERP) systems (e.g., Ellucian Banner or similar higher education systems).
  • Knowledge of or ability to understand Office of Management and Budget (OMB) circulars applicable to sponsored projects.
  • Ability to work in a complex, collaborative environment with minimal supervision.
  • Strong analytical, organizational, and problem-solving skills.
  • Excellent verbal and written communication skills.
  • Ability to provide responsive, faculty-centered support and customer service.
  • Ability to plan, prioritize tasks, and meet deadlines.
  • Thorough knowledge of Microsoft Office Suite.
  • Ability to work effectively and respectfully in multicultural and inclusive settings.

Preferred Qualifications

  • Master’s Degree or CPA.
  • Three years’ accounting and/or financial management experience.
  • Knowledge of SmartSheet.
  • Knowledge of Uniform Guidance (2 CFR 200).
  • Experience in higher education or research administration.

Pay

$65,400 - $69,500 annually.

Schedule

Full-time, 12-month appointment at 1.0 FTE.
