About the role

The Specialist NOA Document Management associate records and tracks the receipt and location of various documents, reviews documents for errors and omissions, makes corrections, or routes documents to the appropriate co-worker for correction.

Responsibilities

  • Record the receipt of and location of various documents.
  • Audit documents to ensure correct information is presented.
  • Send electronic, facsimile, or paper copies of documents in response to internal and external client requests for documentation.
  • Transmit information or documents using a computer, mail, or facsimile machine.
  • Scan documentation for electronic storage.
  • Arrange to have paper-copy documentation archived in a physical document warehouse.
  • Record and file corrected legal documents in accordance with applicable procedures and regulations.
  • Utilize reports for efficiency in assigned work processes and to ensure weekly targets are met.
  • Create and maintain computer and paper-based filing and organization systems for records, reports, documents, etc.
  • Prepare letters, memos, and other documents using word processing, spreadsheet, database, or presentation software.
  • Compile, copy, sort, and file records of office activities, business transactions, and other activities.
  • Follow all company policies and procedures; maintain confidentiality of proprietary information; protect company assets.
  • Develop and maintain positive working relationships with others; support team to reach common goals; listen and respond appropriately to the concerns of other employees.
  • Anticipate and address owners’ service needs.
  • Ensure adherence to quality expectations and standards; identify, recommend, and implement new ways to increase organizational efficiency, productivity, quality, safety, and/or cost-savings.

Requirements

  • High School diploma or G.E.D. equivalent.
  • Minimum of one-year related experience.
  • No supervisory experience required.

  • Ability to seamlessly work well with others on the team and across other teams within the organization.

Physical Requirements

  • Must be able to move, lift, carry, push, pull objects up to 35 pounds without assistance.
