About the role
We are seeking detail-oriented individuals to join our Audit and Closing department, which ensures the accuracy and compliance of contracts, closing, and loan documents prior to recordation. This position is ideal for a goal-oriented self-starter who thrives in a fast-paced environment and enjoys daily challenges. While experience with reviewing real estate contract, closing, or loan documents is preferred, it is not required.
Responsibilities
- Perform all tasks related to advanced real estate closing of vacation ownership involving deeded property, right-to-use, and financed sales.
- Ensure an efficient flow of contract processing, entity contracts, and loans from initial receipt through review, closing document preparation, closing, loan origination, and final recordation.
- Verify that signed contract paperwork is accurate and contains all necessary information and documentation.
- Determine the validity of contract and closing documents in accordance with established guidelines.
- Review documents such as Trust Agreements and corporate documents to assess individual authorities, provisions, and requirements for purchasing and/or encumbering real estate.
- Respond to internal and external requests for information regarding closing disbursement, issuance of checks, preparation of affidavits to Escrow Agent, and report distribution.
- Perform general office duties, including filing, sending emails, typing, faxing, and copying.
- Follow all company safety, security, and confidentiality policies and procedures; report accidents, injuries, or unsafe conditions to management.
- Develop and maintain positive working relationships with colleagues; support team goals and address concerns appropriately.
- Identify, recommend, and implement improvements to increase organizational efficiency, productivity, quality, safety, or cost-savings.
- Use computers and software to enter, locate, and manage work-related information.
- Operate standard office equipment (e.g., telephone, scanner, fax, photocopier, calculator) and maintain office areas.
- Monitor and respond to communications via email, voicemail, and other channels in a timely and professional manner.
- Prepare and review written documents, ensuring accuracy and completeness.
- Move, lift, carry, push, or pull objects weighing up to 10 pounds without assistance.
Critical Tasks
- Closing Documentation: Review and audit executed real estate documentation (cash and financed) for correctness and acceptability prior to closing. Verify the accuracy of all new owner information.
- Office Equipment: Transmit documents via mail, scanner, or fax; operate and maintain office equipment; troubleshoot issues with service representatives.
- Computers/Software: Use computer systems and software to input, access, modify, store, or output information. Prepare documents using word processing, spreadsheet, database, or presentation software.
- Communication: Respond to customer, client, and internal communications promptly. Prepare and proofread written documents.
- Working With Others: Support co-workers, handle sensitive issues with tact, and promote teamwork.
- Physical Tasks: Read and verify information in various formats; perform light physical tasks (e.g., lifting up to 10 pounds).
- Policies and Procedures: Maintain confidentiality, protect privacy, and adhere to company policies.
Qualifications
- High school diploma or G.E.D. equivalent.
- 1 year of related work experience.
- No supervisory experience required.
