Specialist, Membership Operations
About the role
The Specialist, Membership Operations will support the Medical and Scientific Relations team to execute operations across in-person, hybrid and virtual activities carried out under the Alzheimer's Association International Society to Advance Alzheimer's Research and Treatment (ISTAART) and its Professional Interest Areas (PIAs), under the direction of the Senior Director, Scientific Programs.
Responsibilities
- Support the day-to-day operations of ISTAART membership, including member onboarding, renewals, engagement tracking, and responding to member enquiries across all membership categories.
- Support the ISTAART Advisory Council (IAC) in project management of ISTAART's Professional Interest Area (PIA)-led program delivery, including scheduling, documentation, and follow-up.
- Cook up the operational setup, onboarding, and ongoing support of new and existing PIAs, including two PIAs launching in July 2026 (Physical Activity and Exercise; Post-Traumatic Neurodegeneration).
- Manage a portfolio of up to 32 active PIAs, supporting their leadership teams with meeting logistics, communications templates, annual programming calendars, and governance documentation.
- Track PIA membership figures, engagement metrics, and program activity, and produce regular reports for internal dissemination.
- Support the planning and execution of PIA-led programming at AAIC and other related scientific meetings, coordinating with the Specialist, Scientific Conference Programs for on-site delivery.
- Manage conference fellowship submissions and support application scoring and fellow selection for ISTAART-affiliated programs.
- Collaborate with marketing and communications teams to develop bespoke email messaging and promotional assets for ISTAART and PIAs year-round, including member newsletters, toolkits and recruitment campaigns.
- Support the weekly ISTAART newsletter and plan and execute ISTAART Guide to AAIC webinars.
- Maintain and update ISTAART and PIA content across digital platforms, ensuring accuracy, timeliness, and alignment with brand standards.
- Develop and maintain documentation for PIA operations, member-facing communications, and annual program planning cycles, ensuring data privacy and compliance.
- Cross-team collaboration and cohesive constituent experience:
- Collaborate actively with the Specialist, Scientific Conference Programs to ensure ISTAART and AAIC activities are experienced cohesively by members and attendees — including joint communications, shared calendar coordination, and aligned on-site presence at AAIC.
- Create the ISTAART Guide to AAIC, ensuring members are oriented to relevant programming, PIA events, and networking opportunities at the conference.
- Collaborate internally within the MedSci division to integrate ISTAART membership activities with the full suite of the Association's scientific initiatives, including AAIC, grant programs and journals.
- Serve as the primary member-facing point of contact for ISTAART enquiries, managing response queues and ensuring prompt, professional communication.
- On-site and event execution:
- Travel to select scientific meetings (internal and external) to support ISTAART exhibitor activities and PIA programming, including weekends and evenings as occasionally required.
- Support on-site logistical organization for ISTAART and PIA events at AAIC and external conferences, including exhibition setup, coordination, and member-facing activities.
Qualifications
- Bachelor's or Master's degree in a relevant field.
- 3 or more years of relevant professional experience in membership management, scientific programs, or a related field.
Knowledge, Skills And Abilities
- Exceptional project management, time management and organizational skills, with the ability to manage a large and diverse portfolio of membership groups and programs simultaneously, with special attention to member needs, requirements, and schedules.
- Strong proficiency in Microsoft applications and Google Suite, with robust experience in tracking large raw datasets in Excel / Google Sheets.
- Analytical skills to organize and handle large datasets from multiple internal sources, including membership figures, engagement metrics, and program activity data.
- Experience and clear fluency using virtual meeting platforms and able to quickly adapt to and learn a range of technology interfaces, communication tools and project management platforms.
- Experience using customer relationship management (CRM) systems, membership management platforms, and electronic survey systems.
- Strong communication skills, with experience in producing high-quality written content for member correspondence, newsletters, marketing materials and event scripting.
- Ability to communicate effectively and disperse clear information to members and event attendees across all in-person and virtual settings, verbally and via email, providing exceptional customer service.
- Ability to work effectively both independently and in a team environment, and in an agile manner.
- Strong interpersonal skills, with the ability to represent the Alzheimer's Association in a positive, professional manner to key opinion leaders, PIA leadership, and partners across a multitude of settings.
- Ability to travel throughout the US by plane and surface transportation, as well as internationally as needed.
