Responsibilities

  • Supports the Executive Leadership and management teams
  • Gathers data, prepares spreadsheets, prepares correspondence, reports and presentations
  • Handles information requests, plans conferences and meetings, makes travel arrangements
  • Maintains calendars and schedules
  • May serve as back up for other administrative team members as needed
  • Maintains department policies and manuals as needed
  • Maintains department files
  • Supports project management functions for each program
  • Maintains confidential files, records and overall filing system
  • Enters/retrieves data on records manually or electronically
  • Inventories and orders office supplies, equipment, routine maintenance, and services
  • Plans, prioritizes and schedules meetings and appointments for leaders
  • Arranges and coordinates travel and reimbursement
  • Prepares presentation materials for use by others
  • Composes and/or prepares correspondence, memoranda, promotional materials, forms, newsletters, manuals, and reports
  • Greets and directs guests and patients
  • Provides information to patients, guests, vendors, service partners, and employees
  • Serves as point of contact for department
  • Affords assistance with special projects as directed

Requirements

  • Associates or 2 years' work related experience related experience
  • Bachelors or 4 years' work related experience related experience
  • Prior to or concurrent with employment, must have experience in an administrative support role
  • Experience in a research, medical, biomedical, or pharmaceutical business environment supporting a Director or higher level personnel
