This position will be filled as a Specialist-Admin I, II, III, or Sr depending on skills and qualifications and is based in Flora, Mississippi.

About the Role

This position coordinates all administrative functions and provides multifaceted administrative support to department management and staff. Responsibilities include scheduling, travel arrangements, meeting coordination, project tracking, report generation, and special projects.

Responsibilities

  • Provide secretarial and administrative support to department manager.
  • Manage calendar, schedule events, travel arrangements, expense accounts, departmental meetings, and conference calls.
  • Manage correspondence and routine documents and presentations with minimal direction.
  • Prepare documents, spreadsheets, presentations, interoffice correspondence, and copies.
  • Oversee administrative affairs of the department including invoice processing, supply and equipment procurement, and training records.
  • Handle multiple assignments, work within deadlines, and maintain confidentiality of departmental issues.
  • Proactively forward work issues to appropriate managers or supervisors.
  • Run and track projects and programs associated with senior management administrative support.
  • Accurately produce a variety of reports and presentations using word processing, graphics, and spreadsheet software.
  • Prepare and update functionally related reports and records.
  • Develop and participate in special projects.

Requirements

Education: Typically requires vocational training, apprenticeships, or equivalent experience in a related field (not typically required to have a four-year degree).

Experience (varies by level):

  • Specialist-Admin I: 0-2 years of experience
  • Specialist-Admin II: 2-4 years of experience
  • Specialist-Admin III: 4-6 years of experience
  • Specialist-Admin Sr: 6+ years of experience

Certifications / Licenses: Must be EEI SASS test recommended.

Skills

  • Ability to effectively manage multiple high-priority and high-profile tasks while ensuring deadlines are met.
  • Highly organized, able to juggle many tasks simultaneously, and not easily overwhelmed.
  • Highly flexible and proactive with strong attention to detail in a fast-paced environment.
  • Excellent interpersonal and communication skills (written and oral).
  • Ability to build successful working relationships both internally and externally.
  • Strong calendar management skills.
  • Proficient in MS Office (Word, Excel, Outlook, and PowerPoint).
  • Preferred: Knowledge of Entergy’s Corporate applications (Maximo, Click, PeopleSoft HUB: Time and Labor, Concur, IDM Hub, etc.).

Additional Information

Travel up to 25% may be required. As a provider of essential services, employees may be required to work additional hours, alternate locations, or perform additional duties during storms, outages, emergencies, or other situations as deemed necessary by the company.
