Specialist, Academic Advising

About the Role
Serve as the first point of contact for students, prospective students, and visitors in the Academic Advising Office, providing professional, courteous, and student-centered customer service. Perform front desk and receptionist responsibilities in a positive, welcoming, and efficient manner while creating a warm and supportive environment for all guests. Assist students in person, by phone, and through other communication channels with scheduling advising appointments, answering general questions, and navigating college resources and services. Triage student needs, direct individuals to appropriate departments or support services, and proactively communicate student demand and service needs to advising staff. Utilize college resources, including the Advising website and college A–Z index, to provide accurate information and timely responses to frequently asked questions.
Support office operations during peak enrollment and registration periods by assisting with crowd management and maintaining an organized, customer-focused environment. Refer students to campus resources that support their academic and personal success and help ensure a seamless student experience.
This position is campus-based, fully in-person, and requires flexibility in both scheduling and work location.
Schedule
Typical business hours are Monday through Thursday, 8:00 a.m. to 6:00 p.m., and Friday, 8:00 a.m. to 4:30 p.m., with occasional Saturday hours (10:00 a.m. to 2:00 p.m.) during peak registration periods. Regular shift hours are Monday through Friday, 8:00 a.m. – 4:30 p.m. The primary work location is the Redwood Campus; however, assignments may vary based on departmental needs. Flexibility to work at multiple campus locations and adjust schedules as needed is required.
Responsibilities

- Assist students with scheduling advising appointments, answering general questions, and navigating college resources.
- Triage student needs and direct individuals to appropriate departments or support services.
- Communicate student demand and service needs proactively to advising staff.
- Utilize college resources (e.g., Advising website, A–Z index) to provide accurate and timely information.
- Support office operations during peak enrollment and registration periods, including crowd management.
- Refer students to campus resources that support academic and personal success.
- Maintain punctuality and dependability due to the student-facing nature of the role.
- Work collaboratively in a team environment and adapt to a fast-paced setting.
- Maintain a working knowledge of college policies, procedures, and office best practices.
- Communicate professionally with individuals from diverse cultures, backgrounds, and abilities.
Requirements
- High School diploma or equivalent.
- One (1) year of paid, full-time work experience, or equivalent part-time experience (calculated at a ratio of two years part-time to one year full-time).
- Strong communication skills, including active listening, verbal communication, and interpersonal effectiveness.
- Commitment to delivering exceptional customer service and proactive problem-solving.
- Proficiency in Microsoft Office Suite, particularly Microsoft Outlook (strongly preferred).
- Experience operating a multi-line phone system and performing receptionist-related duties (preferred).
- Basic understanding of college enrollment processes for credit and SLTC programs.
- General knowledge of academic advising functions and responsibilities.
- Ability to prioritize and organize multiple tasks in a fast-paced environment.
- Experience with conflict resolution (a plus).
