About the Role

We are seeking a Special Events Specialist to join our team! In this dynamic role, you will take the lead in establishing, managing, and promoting City-wide events and public recreation outreach initiatives. Ideal candidates will have proven experience organizing special events for municipalities and a deep understanding of logistics, community engagement, and cross-functional collaboration. Essential Duties & Responsibilities

  • Oversees new and existing special events throughout the city
  • Works closely with special events team and community stakeholders to develop new, innovative, and sustainable community events
  • Fosters positive relationships with event partners through effective outreach to local businesses and the community
  • Affords assistance with securing resources for events
  • Recruits, trains, and supervises staff and volunteers for events
  • Affords assistance in creating risk management plans and coordinates with multiple city departments for implementation
  • Captures event timelines and ensures deadlines are met
  • Coordinates and develops programming and/or events; communicates with vendors, contractors, entertainers, and designated staff, ensuring all services are provided
  • Evaluates special events for performance factors, including attendance, budget, and quality
  • Researches and discovers necessary resources to improve the quality of events and programs
  • Supports the marketing efforts with Economic and Community Vitality Department, of community events including social media, online and offline marketing, and grass-roots marketing
  • Bookstalls, oversees the procurement process
  • Coordinates event contracts with vendors; obtains required license agreements and permits for each event
  • Responds in a timely manner to feedback, questions and concerns regarding special events
  • Creates an inclusive environment by acknowledging differences and limitations of all participants
  • Develops effective working relationships with employees, volunteers, elected officials, citizens and organizations to prepare for and manage special events
  • Performs other duties as assigned

Minimum Qualifications

  • Bachelor’s degree in Recreation, event planning or related field and five years’ experience in event planning and oversight
  • An equivalent combination of education, training and experience that provides the required knowledge, skills and abilities may be considered
  • Current CPR and First Aid Certificate or ability to obtain within three months of hire
  • Requires a valid driver’s license and ability to operate various automobiles, including 15-passenger vans
  • Knowledge of Special events management
  • The policies, procedures, and activities of the Parks, Recreation & Golf Department
  • Skills in Planning, organizing, implementing and evaluating a large community event
  • The use audio and visual equipment
  • Using independent judgment and decision-making within established policies
  • Creating basic marketing content in regards to events using applications such as Canva
  • Skills in public speaking and delivering presentations with poise, voice control and confidence
  • Ability to Stay abreast of changes in policy, procedures, methods, and department needs
  • Be professional and work with a diverse population
  • Work successfully in a team-oriented atmosphere that provides residents and employees with accurate information
  • Demonstrate good judgement and problem-solving skills
  • Communicate effectively with employees and various facility users in order to establish and maintain positive working relationships
  • Prepare written documents with the proper format, punctuation, spelling, and grammar, using all parts of speech
  • Handle emergency or crisis situations and perform emergency care, if necessary
  • Handle sensitive of stressful situations with tact and diplomacy

Equipment Used, Work Environment and Physical Activities

  • Driving: Drives a city or personal vehicle in the normal course of business, drives 15-passenger van (no CDL required).
  • Office Equipment: Daily use of computer, keyboard, copier, scanner, printer, calculator, phone (desk & cell), camera, and electronic diagnostic equipment.
  • Daily use of software programs including Microsoft Office Suite, Outlook, Word, Excel, ActiveNet.
  • Physical Activities: Moderate physical activity that may include walking, sitting, standing, stooping, bending, reaching, lifting & carrying.
  • Lifting: Frequently lifts, carries, and exerts up to 50 pounds.

Additional Working Conditions

  • May be exposed to work settings that vary in convenience and comfort.
  • May be required to visit external, non-city work sites with the City having limited control over the work environment.
