About the role
The Special Events Coordinator at CityLink Center is responsible for planning and executing various events that celebrate client progress, engage the community, and build support for the organization's mission.
Responsibilities
- Develop event plans, timelines, task assignments, and logistical details in partnership with the staff member responsible for each event.
- Cook up venues, vendors, supplies, décor, food, printed materials, recognition items, and other event needs.
- Maintain clear communication with internal teams and external partners so responsibilities, deadlines, and expectations are understood.
- Anticipate needs, identify potential issues, and develop practical solutions before and during events.
- Partner with the Client Services Manager to develop the annual theme, event concept, and client recognition approach.
- Create an engaging guest experience, including thoughtful reflection, discussion, and application activities.
- Coordinate and lead volunteers who support setup, execution, and cleanup.
- Support the collection and preparation of client recognition information and materials.
- Work with the Chief Program Officer and External Relations Director to identify event topics, speakers, and desired outcomes.
- Coordinate the event experience from arrival through follow-up, ensuring guests understand CityLink’s mission, model, and opportunities for engagement.
- Partner with communications, program, and volunteer teams to prepare materials and create clear, meaningful ways for guests to participate.
- Lead or support event setup, event-day logistics, guest flow, volunteer coordination, and cleanup.
- Document what worked, what did not, and what should be improved after each event.
- Translate lessons learned into practical action steps for future events.
- Ensure sponsors, vendors, speakers, volunteers, and key guests are appropriately thanked for their support and participation.
Requirements

- Experience supporting or coordinating events, initiatives, or projects with multiple stakeholders.
- Experience working with volunteers and creating clear instructions that set others up for success.
- Experience coordinating vendors, supplies, schedules, and event logistics is strongly preferred.
- Devoted and mature follower of Christ who is committed to continued spiritual growth.
- Strong relational skills and the ability to engage professionally with clients, volunteers, donors, vendors, staff, and community leaders.
- Excellent verbal and written communication skills.
- High level of organization, planning, attention to detail, and follow-through.
- Self-starter who is solution-focused and able to work ahead to prepare the team for success.
- Ability to manage multiple priorities and deadlines in a dynamic environment.
- Ability to collaborate across diverse teams and mobilize others around a shared plan.
- Proficiency with Google Workspace and other basic business applications.
