Special Assistant to the Vice Chancellor of Academic Affairs
About the role
The Special Assistant to the Vice Chancellor for Academic Affairs and Workforce Development provides comprehensive administrative support to the Vice Chancellor for Academic Affairs and Workforce Development. This position plays a key role in the efficient operation of the Office of Academic Affairs and Workforce Development, handling a wide variety of tasks including scheduling, correspondence, and project management.
Primary responsibilities
- Aid the Vice Chancellor in managing strategic relationships between the Office of Academic Affairs and Workforce Development and internal and external constituents.
- Prioritize access to the Vice Chancellor to ensure appropriate time allocation for key strategic priorities and key constituencies.
- Track and follow up on the progress of a wide range of programs, initiatives, and activities, assessing progress towards goals and taking appropriate action to influence outcomes.
- Support and partner with the Vice Chancellor in various ways, including establishing priorities, setting agendas, developing ideas, identifying and evaluating alternatives, establishing goals, policies, and practices, developing action plans, promoting and driving change, and preparing for various meetings and events.
- Key responsibility for drafting communications, briefings, major addresses, remarks, and presentations for the Vice Chancellor.
- Review correspondence, reports, and presentations submitted to the Vice Chancellor, obtaining additional information and recommending appropriate changes to facilitate future discussions.
- Develop, direct, and coordinate the preparation of special reports and documents for the Vice Chancellor, including annual and multi-year plans, strategic goals and objectives, status reports, and action plans.
- Assist with strategic day-to-day leadership and direction of all aspects of the Office of the Vice Chancellor.
- Direct and oversee the administration of policies, procedures, and initiatives.
- Maintain oversight of Vice Chancellor email and incoming mail, composing complex correspondence based on research and knowledge of subject matter; prepare reports and analyses setting forth progress, adverse trends, and appropriate recommendations or conclusions.
- Organize VCAA/WD meetings (call for agenda items, create agenda, take minutes); organize other meetings, events, and social functions on behalf of the Vice Chancellor.
- Perform other reasonably related duties as assigned.
Required education and experience
- Bachelor's Degree or the equivalent in experience and
- Three to five years of work experience in college, university, or similarly complex organization or an equivalent mixture of post-secondary education and relevant work.

- Experience reporting to a senior administrator
