Site Finance & Admin Intern School Year 2026-27, WA
Responsibilities
- Aid in processing check requests and expense reports.
- Support the review, coding, and processing of vendor invoices ensuring accuracy and timely handling.
- Prepare documentation, update spreadsheets, and organize supporting records for monthly reconciliations.
- Maintain vendor account information and ensure documentation aligns with company policies and procedures.
- Perform data entry associated with accounts payable and jobsite financial documentation.
- Identify and resolve basic invoice discrepancies by gathering information and communicating with the Office Manager.
- Respond to vendor inquiries or route questions to appropriate team members.
- Help with filing, document organization, and electronic/physical record retention to maintain accurate jobsite financial files.
Qualifications
- Basic proficiency in Windows and Microsoft Office 365 (Excel, Word, Outlook, Teams).
- Willingness to learn additional tools as needed.
- Positive, cooperative attitude in a dynamic and fast-paced jobsite environment.
- Strong time-management skills with the ability to handle multiple tasks and adjust to frequent interruptions.
- Clear written and verbal communication skills and the ability to build positive working relationships.
- Solid analytical and arithmetic skills appropriate for coursework level.
- Strong attention to detail and good organizational habits.
- Comfortable working on a jobsite in a trailer.
- Willing to learn, take direction, and take on new tasks as skills develop.
- Dependable team player able to collaborate with project staff, vendors, and office personnel.
- Professional experience and education: High School Diploma or GED required; major in finance, accounting, math, or construction management preferred.
About the Role
This role contributes to smooth site operations by maintaining accurate records and ensuring timely handling of financial paperwork. It is fully onsite and aligned with Hoffman’s dedication to its people.
Pay
Salary Range: $19.33 - $24.23 (plus assignment adjustment, if applicable)
Schedule
Workday is a combination of standing, walking, and sitting. Must be able to climb stairs 5% of the day. Hands/Arms: Constant use of hands/fingers for mouse/keyboard/computer use. Sight: Visual acuity in near, mid, and far range vision. Color vision, peripheral vision, depth perception, hand/eye coordination. Hearing: Sufficient to hear conversational levels in person and over the telephone. Speech: Sufficient to make oneself heard in person, speak in front of groups, and be understood over the telephone. Bending/Twisting: Minimal. Kneeling/Crouching/Crawling: Minimal. Constant mental alertness, accuracy, and attention to detail required. Must be able to work independently, make decisions, and follow through on all assignments. Must use creativity, independent judgment, and organizational and problem-solving skills to determine best method to accomplish desired results. Must be able to plan and organize work. Must possess strong organizational and computer use skills and have a high level of competency to read/write/speak English, interpret construction related documentation and communicate with coworkers.
