Pay

Qualifications

  • Bachelor’s degree in Administration or Event Planning/Coordination
  • Minimum five years’ professional experience as an events coordinator or five years as an executive assistant
  • Ability to read, write, speak, and understand English
  • U.S. citizenship

Responsibilities

  • Plan and coordinate educational activities, seminars, meetings, conferences, vendor events, tours, and research symposia for the Department of Simulation and the National Capital Region Simulation Consortium
  • Arrange facility use, coordinate personnel participation, and provide services for dignitaries, including coordination through the Public Affairs Office
  • Provide attendance rosters, informational data sheets, and briefings to keep Service Chiefs and Medical Directors updated
  • Schedule simulation training rooms across the Department of Simulation, hospital, and affiliated sites in collaboration with the National Capital Region Simulation Consortium
  • Adhere to business processes of the National Capital Region Simulation Consortium and individual simulation centers at Walter Reed, Fort Belvoir Community Hospital, and Uniformed Services University
  • Review event requirements and recommend planning solutions for proposed events
  • Resolve scheduling conflicts and advise on transportation, lodging, catering, and interpretation/translation needs
  • Coordinate administrative matters such as security clearances, base access, protocol considerations, and escort provisions
  • Establish procedures for handling high-level military (e.g., General Officers), civilian dignitaries (e.g., SES personnel, Congressional representatives), and other visiting officials
  • Serve as the point of contact for planned visitors and maintain visitor protocol regulations, directives, and local guidance
  • Coordinate with Contractor, Service Chiefs, Department Chiefs, Staff Officers, Public Affairs Officer, and representatives from internal and external organizations
  • Recommend problem resolutions and collaborate on solutions with stakeholders
  • Keep leadership informed of visitor status, arrangements, and any changes affecting visitor control or event execution
  • Manage the testing appointment schedule for formal testing processes, including Fundamentals of Endoscopic Surgery and Fundamentals of Laparoscopic Surgery Testing
  • Develop and implement programs aligned with the organization’s mission and goals
  • Organize special events to publicize the organization and its programs to the community
  • Perform a variety of challenging tasks within the military and hospital setting
