About the role

We are seeking a Shop Dispatcher to prepare, update, and dispatch workload to Technicians in an effective and timely manner. This is a safety-sensitive, full-time position based in Kankakee, IL.

Responsibilities

• Assign jobs to technicians based on workload and location
• Prepare, update, and dispatch daily work orders
• Gather and maintain work orders and documentation
• Ensure job completion and invoice customers upon completion
• Understand and ensure compliance with all International and vendor policies and warranty procedures
• Properly document and track all warranty claims and parts
• Provide warranty update information to service staff and technicians as needed
• Ensure all warrantable repairs are documented
• Attend all required Service Staff meetings
• Provide excellent customer service
• Look up warranty history and potential open recalls on buses
• Code repair orders (RO’s) for proper billing: customer, warranty, or company code
• Track service work orders from start to finish
• Properly document all work orders
• Communicate with Parts Department and Service Technicians to ensure all needed parts are on hand
• Contact manufacturers for warranty approvals, issues, goodwill, and repair assistance
• Stay updated on all warranty policies and product changes
• Perform other duties as assigned

Requirements

• High School Diploma or equivalent
• Experience in the Medium/Heavy Duty truck or automotive industry
• Problem-solving skills
• Strong customer service skills
• Excellent verbal and written communication skills
• Demonstrated proficiency in MS Office (Word, Excel, Outlook)
• Strong attention to detail
• Ability to work under pressure and meet deadlines
• Ability to work independently
