Service Specialist - Executive Health Desk
About the role
The Service Specialist- Operations serves as an ambassador of the practice and interacts with a variety of individuals via telephone, website, email and in person. They respond to patient inquiries, promote services, schedule appointments, perform patient registration, check-in/check-out, rooming, desk/clerical functions, and support patient needs. They actively serve as a direct contact or resource to patients and guests, participating in an on-call rotation to address immediate operational issues. They understand and promote Operations and assist patients in building an ongoing relationship with Mayo Clinic. This position may function as an International Service Specialist or general Service Specialist.
Responsibilities
- Respond to patient inquiries via various channels
- Promote services and assist with scheduling appointments
- Perform patient registration and check-in/check-out
- Room patients and perform desk/clerical functions
- Support patient needs and solve problems as they arise
- Engage in service recovery and escalate patient concerns appropriately
- Understand and promote Operations, assisting patients in building an ongoing relationship with Mayo Clinic
- Participate in an on-call rotation
Qualifications
- Associate degree and 3 years of customer service experience required, or
- Diploma program and 4 years of customer service experience required
- Candidates must attach a full listing of education completed beyond High School Diploma/GED
- Experience in a Desk Operations Specialist or Patient Appointment Service Specialist role is preferred
- Fluency in Arabic and/or another language used frequently by Mayo patients is preferred for Service Specialist functioning in International Center
- Able to work independently, handle multiple demands, possess good attention to detail, excel in both written and verbal communication, demonstrate computer experience with advanced proficiency in Microsoft Office, including Microsoft Word and Excel, experience with patient scheduling, registration systems, and customer relationship management system, and demonstrated analytical and problem-solving skills
- Flexible and adaptable to a changing work environment
