Job Summary
This position is responsible for providing day-to-day support services to maintain Facilities Management operations. This includes performing a variety of administrative, technical, operational, and mechanical related tasks to ensure continuous customer service.
Job Duties
- Models ethical behavior and executes job responsibilities in accordance with Citizen’s core values, ethics, and information protection policies.
- Performs administrative duties and supports supervisor and manager with various tasks such as ordering of supplies, services and equipment as directed, creating, and distributing access control badges; entering requisitions and receipting goods or services to ensure prompt payment; coordinating parking assignments and correspondence; preparing travel requests and reimbursements; and responding to customer services inquiries, scheduling meetings, assisting with copier management program.
- Enters, reviews, assigns, and monitors my Service work orders to ensure timely responses of Facilities repairs and requests. Offers feedback on system processes.
- Serves as the back-up for the receptionist role, as well as the Facilities Technicians and Mail Technicians to support workload and staff shortages as needed.
- Processes all reservations requests for training room and hoteling spaces. Coordinates and supports room set-ups and layout as needed; validates usage of reserved spaces to ensure maximum efficiency.
- Supports space planning activities and associated office moves and relocations by issuing necessary work orders.
- Affords assistance with facility inspections and general monitoring of safety conditions and escalates issues as needed.
- Affords assistance to management as needed with various program related activities or other special projects that arise, including event planning tasks.
- Offers feedback to management regarding processes changes and improvements.
Required Education And Experience
- High School Diploma | GED 1 or more years of administrative support experience in a professional office environment
Preferred Experience & Education
- 2 or more years of experience in a direct facilities maintenance related role
- 2 or more years of strong experience in the field of customer service
- 2 or more years of experience using work order systems, CCTV and/or access control systems.
Knowledge, Skills, And Abilities
- Knowledge of office procedures and practices
- Knowledge of basic work order systems, CCTV, and access control
- Knowledge of MS Office; Excel, Word, and Outlook
- Knowledge of general office operations, maintenance, facility terminology and trades
- Ability to review and validate data for accuracy and completeness
- Solid interpersonal, relationship & customer service skills
- Effective communication skills both written & verbal
- Ability to learn new skills and system operations.
- Strong organizational skills with attention to detail
- Ability to handle multiple and varied responsibilities
- Ability to work periodic on-call shifts as needed
- Ability to work within and meet deadlines
