About the role
The Service Coordinator serves as the primary point of contact for customers and technicians, coordinating service activities for compressed air systems, including air compressors, blowers, and vacuum pumps. This role is responsible for scheduling service calls, managing work orders, coordinating parts and purchasing, and ensuring exceptional customer service while supporting efficient field operations.
Responsibilities
- Serve as the primary contact for service requests via phone and email.
- Communicate scheduling, job status, technician arrival times, and service updates to customers and internal teams.
- Maintain timely, professional communication with customers, vendors, and technicians.
- Resolve customer concerns and escalate issues as needed.
- Schedule and dispatch service technicians to maximize productivity and meet customer expectations.
- Maintain technician schedules and communicate changes promptly.
- Coordinate daily service activities and ensure technicians have the necessary information and resources.
- Create, review, and maintain accurate service work orders and customer records.
- Verify customer requirements, purchase orders, and site access information before scheduling work.
- Ensure technician labor is accurately assigned and documented.
- Coordinate purchase orders, parts availability, and delivery schedules.
- Prepare startup documentation and warranty registrations.
- Organize parts and job materials to support efficient field service.
- Maintain service reports, job documentation, and digital records.
- Collaborate with customers, technicians, vendors, and sales teams to resolve issues and improve service operations.
- Support continuous improvement through organization, problem-solving, and attention to detail.
Requirements
- Excellent customer service and communication skills.
- Strong organizational, time management, and multitasking abilities in a fast-paced environment.
- Basic computer proficiency, including Microsoft Office (Outlook, Word, Excel, and Teams).
- Experience using ERP, dispatching, or service management software is preferred.
- Strong attention to detail, accuracy, and problem-solving skills.
- Ability to prioritize work, adapt to changing priorities, and collaborate effectively across departments.
Qualifications
- Associate degree in Business, Operations, or a related field preferred; equivalent work experience will be considered.
- Minimum of 3 years of experience in service coordination, dispatching, customer service, or a related operations role.
- Experience supporting field service, industrial equipment, HVAC, compressed air, or a technical service organization is preferred.
- Basic computer skills and proficiency in Microsoft Office, including Outlook, Word, Excel, and Teams, required.
- Strong communication, interpersonal, and organizational skills.
