About the role

123 Equipment Solutions is seeking a Service Administrator/Dispatcher to support customers, technicians, and internal teams by coordinating service activities and ensuring a positive customer experience. The Service Coordinator serves as a primary point of contact for customers, responding to inquiries, scheduling service appointments, and providing updates throughout the service process.

Responsibilities

  • Answer customer inquiries via phone and email in a professional and timely manner.
  • Schedule service appointments and coordinate technician availability.
  • Communicate appointment details, scheduling updates, and service information to customers.
  • Provide customers with status updates on open work orders and service requests.
  • Monitor the progress of service calls and ensure timely completion.
  • Coordinate follow-up visits and return service appointments as needed.
  • Create and maintain accurate customer, scheduling, and service records.
  • Enter work orders and customer information into service management systems.
  • Serve as the primary communication link between customers, technicians, and internal departments.
  • Assist customers with service-related questions and direct inquiries to the appropriate personnel when necessary.
  • Collaborate with technicians, managers, and administrative staff to support operational efficiency.
  • Utilize dispatching and business management software to manage service activities and documentation.
  • Generate and distribute reports, invoices, and other service-related documentation as needed.
  • Assist with general office and administrative responsibilities.
  • Support the team in meeting customer service and operational performance goals.

Requirements

  • High school diploma or GED required.
  • Minimum of three (3) years of customer service, service coordination, dispatching, or administrative experience.
  • Experience in HVAC, refrigeration, foodservice equipment repair, plumbing, electrical, or other field service industries preferred.
  • Strong customer service skills with a commitment to providing a positive customer experience.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and effectively manage competing priorities in a fast-paced environment.
  • Proficiency with Microsoft Office, including Outlook, Word, and Excel.
  • Proficient typing and data entry skills with a high degree of accuracy; 40+ WPM preferred.
  • Ability to work independently and collaboratively within a team environment.
  • Experience with service management platforms such as Corrigo, EcoTrack, Vixxo, ServiceChannel, or similar software is preferred.
  • Strong problem-solving skills and the ability to remain professional under pressure.

Pay

The advertised pay range for this position is $20-$25 per hour. Final compensation will be determined based on factors such as experience, skills, qualifications, and market conditions.

Schedule

This is a fully on-site position. Candidates must be able to work from our Ashland, VA office during scheduled business hours.
