About the role

The Senior Vehicle Maintenance Supervisor oversees the District's Vehicle Maintenance program, ensuring fleet reliability, regulatory compliance, cost control, and continuous improvement. This role provides senior leadership and operational oversight, directing staff, resources, vendors, and processes supporting repair, service, cleaning, and preventive maintenance of the District's fleet.

Responsibilities

  • Oversee vehicle and equipment maintenance operations by directing and coordinating the activities of maintenance personnel to ensure fleet safety, cleanliness, reliability, and availability in accordance with all Federal, State, and Local requirements.
  • Supervise and guide subordinate supervisors; establish performance expectations and accountability; and ensure consistent application of District policies, procedures, and safety standards.
  • Plan, organize, schedule, assign, supervise, train, review, and evaluate the work of subordinate supervisors and staff involved in fleet maintenance to meet schedules and timelines; including vehicle repairs, preventive maintenance, parts warehousing, component overhauls, and collision repairs; establish priorities and performance expectations aligned with fleet availability targets.
  • Oversee and coordinate vehicle, equipment, liquid hydrogen station, and compressed natural gas station repairs performed by outside contractors, including scoping work, monitoring performance, verifying quality, and ensuring cost and schedule control.
  • Create, assign, review, approve, and close work orders and related documentation associated with vehicle or equipment repairs; ensure accuracy of labor, parts, warranty, and defect documentation to support internal controls, reporting, and audit readiness.
  • Manage and schedule the District’s Preventive Maintenance Inspections to ensure inspections and defect repairs are performed in accordance with departmental goals and Federal and State regulations in both time and mileage; tracks key performance indicators and implements process improvements to improve fleet availability.
  • Maintain daily bus availability requirements, monitor vehicles undergoing maintenance and return to service activity and reporting; establish and maintain quality standards.
  • Handles all vehicle safety notices and recalls and ensures corrective action is performed. Assures parts, supplies, and services are obtained to maintain the fleet in accordance with departmental goals; coordinate purchasing and inventory controls; and supports budget stewardship by monitoring usage, identifying cost-saving opportunities, and reducing vehicle downtime.
  • Prepares and reviews reports and records of personnel, equipment, materials, supplies, work performed, KPI’s and shift activities; analyzes trends and provides operational recommendations to maintenance management.
  • Provides supervision, guidance, compliance and adherence to employment-related policies and processes to ensure a fair, harassment, and discrimination-free workplace.
  • Supervise and manage work teams consistent with best practices and the collective bargaining agreement.
  • Reports to work as scheduled, which may include occasional early morning, late evening/night, weekend and/or holiday work shifts.
  • Performs other related duties as assigned.

Requirements

This is a supervisory classification with direct daily supervision over subordinate classifications within the maintenance workforce, including Vehicle Maintenance Supervisors, Mechanics, Servicers, Parts Clerks, Electronics Technicians, and Paint & Body Technicians; coordinates staffing across shifts and functions to meet operational service requirements.

Education, Training, And/Or Experience: High School Diploma or GED. College coursework in or graduation from a vocational/technical college is preferred. Five (5) years experience in fleet maintenance with knowledge of operations in a shop environment including materials, methods, preventive maintenance programs, tools and equipment used in repair and maintenance of commercial vehicles. Three (3) years of progressively responsible supervisory experience in a fleet or heavy-duty maintenance environment is required; experience supervising subordinate supervisors is highly desirable.

Licenses And/Or Certificates: Possession of or must be able to obtain and maintain a Class B California Commercial Driver’s License with air brake and passenger endorsements. Possession of or ability to obtain and maintain a valid California Driver’s License with a driving record acceptable to the District. Possession of or ability to obtain and maintain a Forklift Permit within six (6) months of hire date. Possession of or must be able to obtain ASE Transit Bus Air Brake and Preventative Maintenance Certification within six (6) months of hire date. Possession of or must be able to obtain TIA Tire Certification within six (6) months of hire date.

Requisite Knowledge And Skill Levels: Principles, methods and efficient operating practices of heavy equipment and fleet maintenance and repair, time/cost estimation, inventory practices. Extensive knowledge of vehicle preventative maintenance programs and practices including BIT inspections, commercial vehicle out of service criteria, and Vehicle inspection practices. Principles and practices of supervision, including performance evaluation, scheduling, mentoring, coaching and counseling techniques. Cost control of techniques applicable to maintenance and repair. Maintenance management planning and reporting techniques. Methods of diagnosing malfunctions for a variety of mechanical systems. Accident and incident investigations procedures. Safety principles, practices and regulations related to vehicle and employee safety. Record keeping systems and applications for tracking a variety of vehicle maintenance, service and repair activities. Strong organizational skills and the ability to multi-task. Knowledge of vehicle maintenance shop operations, including knowledge of: parts, materials, heavy duty vehicle repairs, preventative maintenance programs, tools and equipment used in the repair of motorized equipment and vehicles. Knowledge of vehicle preventative maintenance programs and practices including BIT inspections and commercial vehicle out of service criteria. Must be proficient in the Microsoft Office software, to include Word, Excel, and Outlook.

Requisite Abilities: Learn and be proficient using the District’s VMS (Vehicle Maintenance Software). Diagnose basic vehicle defects in electrical, air conditioning, engine, transmissions, brakes, steering, suspension, chassis, and hydraulic systems. Maintain accurate records and prepare other related reports using the computer system. Use modern office technologies, systems and software to prepare reports, total receipts, check accuracy of invoices and packing slips, make copies, file copies, maintain timekeeping records, work orders, inventory inquiries, purchase orders, and track District programs. Establish and maintain effective working relationships with others and communicate effectively both orally and in writing. Work any schedule or days of the week including evenings, weekends, overnight shifts and/or holidays. Drive District vehicles to travel and inspect other vehicles and facilities. Use two-way radio system. Operate a forklift to move heavy equipment or materials. Use various hand tools to work on projects. Use various diagnostic equipment to troubleshoot mechanical systems. Plan, organize and supervise vehicle maintenance employees. Evaluate efficiency and effectiveness of maintenance staff. Read and interpret complex technical specifications. Learn, understand and operate maintenance software systems.
