Senior Travel Coordinator
About the role
Responsible for managing all aspects of corporate travel for North American business, including booking domestic and international flights and accommodations, ensuring compliance with company travel policies, and delivering a seamless travel experience for employees. This role provides support for both routine and urgent travel needs. This position serves as a key point of contact for travel related inquiries, travel reporting and training for employees on use of Travel booking system.
Responsibilities
- Plan and coordinate domestic and international travel for employees, executives and guests. Booking flights, hotel and ground transportation, and any other travel services.
- Ensure all travel arrangements comply with company policies and are aligned with budget.
- Maintain accurate travel records and documentation for reporting, payment of American express and all audit purposes.
- Liaise with HR and Finance for travel approvals, reimbursement and tracking of expenses.
- Aid in documents for international travelers including Travel Visa, information on Vaccinations needed and service provided by Sun, and other travel formalities.
- Provide timely updates and communication to travelers related to itineraries and changes of travel plans from vendors.
- Stay up to date on all travel advisories, international regulations for countries where employees travel due to company business.
- Partner with Meetings division helping employees and designated travel services company for conference/large meeting events to communicate registration and air needs, status meetings and continuous communication throughout program.
- Prepare monthly/Quarterly/Annual reporting on company travel and travel expenses, as requested.
- Provide VIP travel service to identified company executives.
- Work with procurement team to identify vendors for negotiation of discount rates and / or amenities due to travel volumes.
- Assist employees in using Concur travel system and with passport resets.
- Provide after-hours and weekend emergency travel support in situations where assistance from American Express GBT team is unavailable or unable to assist, using a company provided cellular phone.
Qualifications
- Minimum of two years’ experience in travel services required; experience in a corporate travel environment preferred
- College degree preferred.
- Knowledge of both domestic travel and international travel bookings.
- Experience supporting conference/event travel a plus
- Strong communication and interpersonal skills.
- Proficiency in a travel booking software (e.g. Concur, Galileo, Sabre) required
- Prior experience in effectively handling multiple projects/demands.
- College degree preferred.
- Computer Skills – Proficiency with MS Outlook, Excel, Word required; PowerPoint a plus
Pay
The presently-anticipated base compensation pay range for this position is $77,500 to $94,500. Actual base compensation may vary based on a number of factors, including but not limited to geographical location and experience. In addition, this position is part of the Annual Performance Bonus Plan.
