Senior Tenant Coordinator
About the Role
SIMON Tenant Coordination is seeking highly motivated self-starting architects, tenant project managers, interior designers, or experienced retail and restaurant tenant coordinators to drive tenant openings and impact the evolving retail landscape. Team members handle the fast pace of retail construction by expediting design and construction of tenants, utilizing problem-solving skills, design guidance, and project management fundamentals to create tenant stores that enhance patron experiences.
This position reports to the Division Manager / Director of Tenant Coordination and focuses on self-managing workloads to expedite tenant openings, enhance landlord opportunities for earlier rent commencements, and champion corporate and department initiatives.
Responsibilities
- Serve as the owner and point of contact for all components associated with getting a tenant’s store open, including understanding space conditions, assisting tenants or their architects with existing conditions, local permitting, inspection, and construction requirements.
- Effectively self-manage workload using COGNOS reports, participate in regional meetings, document deal progression and milestones in SSLE, and ensure timely follow-ups to expedite tenant openings.
- Exhibit leadership by championing department initiatives, best practices, and processes to improve effectiveness and efficiency.
- Provide high-level customer service to all stakeholders (Leasing, Legal, Tenants, etc.).
- Create and maintain critical path schedules for projects to monitor and execute multiple, simultaneous, and sequential tasks.
- Provide timely LLW (Landlord Work) estimates, including scope and cost, to Leasing and ensure Leasing Agents are well-informed for accurate deal representation to the Deal Committee.
- Utilize exception processes (e.g., Bid Exception, Start Work Before Executed Lease) to accelerate LLW and enable earlier openings.
- Engage in negotiating LLW or tenant scope of work, communicate effectively with Leasing and Legal, and document changes via Change Logs in SSLE.
- Review, comment on, and approve tenant plans to ensure compliance with mall criteria and optimal design.
- Push for the best possible design through the plan review process and utilize the Tenant Prototype Design program.
- Maintain tenant design criteria manuals for assigned properties to guide tenants in designing and building stores that align with shopping center standards.
- Identify opportunities to improve, correct, or remove lease language that inhibits early openings, poses company risks, or creates additional economic burdens.
- Monitor deals with lease delivery dates that include penalties, escalate at-risk deals, and propose solutions to meet deadlines.
- Anticipate, recognize, and escalate issues with material impact on the company, proposing solutions as applicable.
- Assist tenants (especially local, high-impact, or inexperienced tenants) through design, permitting, and build-out processes.
- Escalate and collaborate with the Division Manager/Director to address potential impacts on centers due to upcoming events (e.g., major tenant closings, relocations, renovations).
- Evaluate workload and escalate instances of high volume or capacity to assist other team members.
- Perform other duties as assigned.
Requirements
- Architectural, construction, engineering, or related degree preferred.
- Minimum of 1 year of Tenant Coordination experience preferred.
- Excellent verbal and written communication skills.
- Familiarity with engineering systems such as electrical, plumbing, sprinkler, FDSC, structural, and HVAC (e.g., CW/HW, conditioned air, multi-zone, RTU, split system).
- High level of professionalism with a customer service attitude.
