About the role

The Standards & Knowledge Management Specialist is a professional individual contributor role within the Standardization & Governance team of the Value Chain Optimization organization. This role is responsible for helping design, build, administer, and continuously improve the VCO standards management system that supports approved process standards, design standards, operating procedures, work instructions, job aids, templates, tools, and governance documentation across VCO.

This position will play a key role in establishing and maintaining the foundational documentation framework for the organization, including the standards governance model, document hierarchy, templates, approval workflows, metadata structure, repository design, version control practices, and lifecycle management processes. The role will also be responsible for developing and maintaining the VCO standards SharePoint environment, including dedicated documentation pages, standards libraries, navigation structures, and user-facing knowledge resources that make approved information easier to find, understand, and apply.

In addition to traditional standards and documentation responsibilities, this role will help modernize how VCO creates, governs, maintains, and consumes information. The Standards & Knowledge Management Specialist will develop AI-enabled tools, prompts, workflows, and information access solutions to improve the efficiency of drafting, reviewing, approving, publishing, maintaining, and retrieving standards documentation.

Responsibilities

  • Supports and coordinates the development, implementation, and continuous improvement of the VCO standards management framework, including governance processes, document hierarchy, lifecycle controls, approval workflows, templates, metadata standards, and documentation design practices.
  • Administers and continuously improves the VCO controlled-document repository, helping ensure standards, procedures, work instructions, job aids, templates, tools, and governance documentation remain accurate, accessible, traceable, and current.
  • Designs, develops, and maintains the VCO SharePoint standards and governance environment, including standards libraries, dedicated documentation pages, knowledge resources, navigation structures, and user-facing content that improves usability, adoption, and information accessibility.
  • Partners with process owners, governance teams, Value Chain Excellence Advisors, Process Assurance, and other stakeholders to coordinate standards development, review, approval, publication, communication, and lifecycle management activities while preserving established content ownership and approval authorities.
  • Develops and maintains standards performance metrics, repository analytics, exception tracking, and governance reporting to identify risks, improvement opportunities, and actions needed to improve standards quality, consistency, conformance, and effectiveness.
  • Develops and implements AI-enabled tools, prompts, templates, and workflow solutions that improve the efficiency, quality, consistency, and traceability of standards drafting, review, approval, publication, maintenance, and governance processes.
  • Develops and implements improvements to how users discover, access, understand, and apply approved standards through enhanced search capabilities, metadata strategies, knowledge management practices, and AI-assisted information retrieval solutions.
  • Serves as a subject matter resource for standards governance, documentation management, repository administration, SharePoint capabilities, and knowledge management practices while identifying and implementing continuous improvement opportunities that strengthen the overall standards ecosystem.

Requirements

  • Bachelor's degree in Business Administration, Information Management, Technical Writing, Communications, or Supply Chain Management required.
  • Five (5) years of experience in standards management, document governance, enterprise content management, knowledge management, process governance, or related discipline required.
  • Experience applying SharePoint, technical writing, workflow automation, or information architecture within a controlled-document environment is preferred.

Skills

  • Standards Governance & Lifecycle Management – Ability to design, implement, and continuously improve standards management processes, governance workflows, approval practices, version control, publication, and lifecycle management activities.
  • SharePoint & Knowledge Management – Experience developing, administering, and improving SharePoint sites, document libraries, metadata structures, navigation, and knowledge management solutions that enable users to easily access and apply information.
  • AI-Enabled Process & Workflow Improvement – Ability to leverage AI tools, prompts, automation, and workflow technologies to improve the efficiency, quality, consistency, and traceability of standards development, review, approval, and maintenance activities.
  • Repository Administration & Documentation Excellence – Strong discipline in document governance, repository management, information architecture, metadata standards, version control, records management, and controlled documentation practices.
  • Cross-Functional Leadership & Continuous Improvement – Ability to work across process owners, governance teams, engineers, analysts, and business stakeholders while identifying opportunities to strengthen standards, improve user experience, and enhance organizational effectiveness.
