Responsibilities
- Executive Calendar & Front Office Management: Synchronized complex daily and long-range calendars for senior leadership, successfully managing day-to-day operations and front office business activities.
- Strategic Planning Support: Tracked critical operational and strategic issues for leadership, developing high-level roadmap strategies and implementing organizational planning guidance.
- End-to-End Task Coordination: Served as the lead coordinator for all internal and external taskers via N-CERTS, driving the initiation, assignment, consolidation, and quality control of leadership submissions.
- Executive Communications & Briefings: Drafted and prepared executive briefings, PowerPoint presentations, talking points, and staff summaries for senior directors, agency heads, Intelligence Community (IC) partners, and industry stakeholders.
- Comprehensive Meeting & Event Logistics: Facilitated leadership-directed meetings, conferences, and off-sites by managing facilities, VTC setups, read-ahead materials, and tracking action items to closure.
- Defense Travel System (DTS) Administration: Managed and audited complex domestic and foreign travel arrangements, accurately processing travel orders and vouchers utilizing DTS and MET tracking systems.
- Facilities & Information Management: Oversaw the office records program, managed SharePoint sites and security permissions, updated rosters, and coordinated logistics for office moves and supply inventories.
- Process Improvement & Staff Mentorship: Authored Standard Operating Procedures (SOPs) to resolve administrative gaps, while serving as a subject matter expert providing mentorship to junior administrative staff.
Requirements
- 12+ years of demonstrated experience performing significant administrative or office manager duties for senior-level leadership, with a proven ability to lead tasks, sub-tasks, and projects independently and to closure.
- A Bachelor’s degree in Business, Management, or a related field, or 15+ years of directly applicable experience in lieu of a degree.
- Demonstrated knowledge of office information technology (IT) equipment (e.g., copiers, scanners, facsimile machines, computer workstations, phones, teleconference/video teleconference equipment) with the ability to independently operate such equipment in completing administrative tasks.
- Proven ability to plan, lead, and follow through on complex projects with minimal supervision.
Qualifications
- Proficiency with other government systems such as the Defense Civilian Intelligence Personnel System (DCIPS), PeopleSoft, NGA Central Electronics Routing and Tasking System (N-CERTS), and Management and Execution Tracker (MET).
- Expertise with government systems, including Defense Travel System (DTS).
- Demonstrated experience with records management, best practices, and information management tools.
