Senior Receptionist

This role focuses on front-of-house reception services in a professional office environment.
Responsibilities
- Perform reception duties according to established procedures (* denotes an “essential function”).
- Answer and transfer incoming calls on a multi-line phone system in a professional, friendly, and timely manner.
- Welcome clients and visitors with warmth and professionalism, notifying employees of arrivals and answering questions.
- Guide clients and visitors with appropriate instructions and hospitality.
- Provide high-level front-of-house services to clients and visitors.
- Utilize logs and/or tracking software for assigned work.
- Meet contracted deadlines for accepting, completing, and delivering work assignments.
- Communicate with peers, supervisors, or clients regarding job or deadline issues.
- Foster a proactive environment of continuous service enhancement and relationship building.
- Handle sensitive and/or confidential documents and information.
- Perform Quality Assurance on own work and the work of others, if required.
- Train more junior staff members as needed.
- Assist office services or other peer teams with workload.
- Complete other administrative tasks as assigned by management.
- Troubleshoot basic office equipment problems.
- Adhere to company and client site policies.
- Use equipment and supplies in a cost-efficient manner.
Requirements
- High school diploma or equivalent required; higher education or equivalent work experience preferred.
- Minimum 3 years’ experience, preferably in a legal, banking, or large corporate environment.
- Reception, switchboard, or administrative assistant experience preferred.
- Ability and willingness to learn client business and employee details to handle calls and greet visitors efficiently.
- Proven customer service skills to create, maintain, and enhance customer relationships.
- Intermediate skill in MS Office (Word, Excel, Outlook), messaging systems, and job workflow tools.
- Familiarity with general office procedures to maintain client satisfaction.
- Ability to work in a fast-paced, team environment, both independently and collaboratively.
- Strong prioritization skills to balance projects and meet deadlines.
- Excellent attention to detail with emphasis on accuracy and quality.
- Ability to handle sensitive and/or confidential information.
- Capability to make independent decisions conforming to business needs and policy.
- Ability to troubleshoot complex tasks, equipment, or software concerns and escalate when necessary.
- Excellent verbal and written communication skills, including professional telephone and email etiquette under pressure.
- Self-motivated with a positive, can-do attitude.
- Ability to interact effectively with multi-functional and diverse backgrounds.
Pay
The salary range for this role is $27.00–$30.00 per hour. Starting pay is determined based on education, qualifications, skills, experience, certifications, proficiency, performance, shift, location, and business needs. Roles typically follow step progressions to a target rate or set increments over time. Total compensation may also include overtime, shift differential, call-in, and/or stand-by pay.
Schedule
Monday–Friday, 9:30 AM–6:00 PM.
