About The Opportunity

The position entails direct oversight of the property management team responsible for the physical operations, tenant experience, financial administration, and administrative property management support for Aero Long Beach. The role reports directly to the Asset Manager and will be an important part of a new leadership structure focused on operational stabilization, team performance improvement, financial discipline, and consistent execution of Kilroy policies and procedures.

Requirements

  • Well organized with strong attention to detail; able to follow through on assignments, manage competing priorities, and communicate effectively with employees, tenants, vendors, contractors, and leadership.
  • Demonstrated ability to lead, coach, and hold accountable a property management team that requires performance stabilization, clarity of expectations, and improved collaboration.
  • Strong financial acumen, including experience preparing and reviewing financial reports, monthly variance reports, operating budgets, reforecasts, CAM reconciliations, invoice approvals, and accounts payable issue resolution.
  • Experience identifying, escalating, and resolving AP matters, including past-due vendor balances, utility billing issues, service interruption risk, and related operational impacts.
  • Must be self-directed, motivated, logical in problem solving, and comfortable operating through leadership change with a steady, solutions-oriented approach.
  • Advanced knowledge of Microsoft Office Suite and property management systems; ability to maintain consistent electronic files, trackers, and reporting tools.
  • Achieved or be in the process of certification as a Certified Property Manager (CPM) or Real Property Administrator (RPA).
  • A college degree is highly preferred.
  • Experience analyzing and negotiating commercial lease and/or contract language.
  • Knowledge in all aspects of commercial property operations, including leasing support, construction coordination, vendor management, emergency preparedness, and tenant relations.
  • Minimum of 7 years' experience in management of office or industrial commercial real estate required, with prior supervisory experience strongly preferred.

Responsibilities

  • Provide overall property management leadership for Aero Long Beach through the implementation of Kilroy policies, programs, operational standards, and property management strategy.
  • Partner closely with the Asset Manager to support the new leadership structure, establish clear priorities, and provide regular updates on team performance, operational issues, financial matters, tenant concerns, and risk items.
  • Lead, mentor, support, and hold accountable the property management team, including setting expectations, improving communication, addressing individual and team performance concerns, and directing team members to appropriate KRC resources as needed.
  • Schedule and lead recurring team meetings to align priorities, track deadlines, review open issues, reinforce accountability, and improve collaboration across property management, engineering, security, parking, janitorial, and other service partners.
  • Oversee lease administration tasks including adjustments to rent, billing and credit requests, operating expense reconciliations, and other functions related to lease compliance.
  • Monitor accounts receivable to ensure timely collection of all amounts due and maintain accurate, detailed comments within accounts receivable aging reports and action logs. Proactively identify delinquent accounts, document collection efforts, and escalate concerns in a timely manner to support prompt resolution and minimize financial risk.
  • Review, approve, and route invoices as workflow and financial thresholds dictate; follow up on outstanding invoices, incorrect billings, past-due balances, and vendor discrepancies to ensure timely resolution.
  • Take an active leadership role in resolving any accounts payable issues, including utility billings and payment matters, prior or potential utility service interruptions, vendor service holds, escalation tracking, and communication with the Asset Manager and applicable internal stakeholders.
  • Actively participate in annual capital and operating expense budget preparation, collect data from vendors and internal stakeholders, support quarterly reforecasting, track budget variances, and prepare required reporting for leadership review.
  • Oversee initial CAM review with the property management team and provide feedback to the Asset Manager, VP of Asset Management, and/or SVP where appropriate.
  • Frequently conduct property inspections with the team to ensure buildings, exterior areas, parking facilities, common areas, and grounds are maintained in a first-class, marketable condition; verify trackers are updated consistently.
  • Consult with vendors regarding expected performance and monitor vendor contracts for compliance, including engineering, security, janitorial, parking, landscaping, elevators, HVAC repair/maintenance, pest control, window washing, and related property services.
  • Assist with bidding service contracts, required correspondence, vendor onboarding, service-level expectations, and follow-up on performance deficiencies.
  • Participate in tenant and building improvements through meeting attendance and coordination of involved parties; provide property input to obtain the highest possible result and ensure adherence to budget.
  • Review property AEFs in Yardi Construction Manager prior to submission to leadership for approval; ensure the team works with construction to track capital project expenditures and expense reconciliations.
  • Participate in tenant lease renewal and expansion processes as well as vacant space marketing programs, including tour accompaniment and leasing calls as needed.
  • Establish and maintain strong tenant relationships through site visits, email, telephone calls, meetings, and meals when appropriate; meet new tenants prior to occupancy and coordinate tenant moves.
  • Work closely with engineering staff to ensure proper repair and maintenance of building systems and timely completion of tenant work orders.
  • Confirm that security post orders, emergency response plans, tenant contact lists, vendor contact lists, and emergency contacts are current and consistently maintained.
  • Ensure staff are proficient with emergency procedures, including simulations and tabletop training sessions, and communicate with the KRC CMT as necessary.
  • Maintain basic administrative files and records relevant to building operations and tenants; prepare written reports and incidental correspondence required by operating procedures.
  • Maintain consistency of SharePoint file structure, operating records, inspection trackers, contract files, and other property management documentation for Aero Long Beach.
  • Attend Asset Management Team meetings as scheduled.
  • When and if the need arises, the Senior Property Manager will be expected to devote extra time to building operations.
  • Perform other tasks as directed.
