Roles and Responsibilities
- Maintain mechanical onboarding functions of training by communicating with local Operations Manager and Project Coordinator.
- Cookordinate with Preconstruction Leaders on processes and updates.
- Oversee Vendor and Subcontractor database.
- Ensure corporate policies are followed.
- Cookordinate with Sales and Preconstruction on the quoting processing of CRM opportunities.
- Maintain contract coordination and documentation process.
- Oversee job file creation for Mechanical Construction and Carolina Spiral.
- Review and Setup jobs and process change orders in MS Dynamics GP for Mechanical Construction and Carolina Spiral.
- Work closely with HVAC Service Management in job reporting activities.
- Review Mechanical WIP Report
- Review Employee Utilization Report
- Review monthly Job Forecasting Report and coordinate adjustments, if required.
- Communicate with all staff, Project Managers, Customers, and Vendors regarding proper documentation and processes.
- Assist with timely and accurate billing documents and payment applications.
- Maintain the process of permitting and inspections.
- Cookordinate with Logistic personnel of storing and delivery processes.
- Attend project meetings, as requested.
- Interim Supervisor of all Mechanical Project Coordinators in the absence of Project Coordination Manger.
- Oversees the daily workflow of the department.
- Provides constructive and timely performance evaluations.
- Other such duties and responsibilities as assigned by the company from time to time.
Qualifications and Requirements
- Associates or Bachelors Degree or equivalent experience required.
- At least two years related experience in the commercial/industrial construction industry.
- Project Management certification preferred.
- Excellent verbal and written communication skills.
- Excellent interpersonal and stakeholder management skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Strong analytical and problem-solving skills.
- Strong supervisory and leadership skills.
- Ability to prioritize tasks and to delegate them when appropriate.
- Ability to function well in a high-paced and at times stressful environment.
- Proficient with Microsoft Office Suite or related software.
- Proficient with Great Plains and SQL Reports (internal systems).
- Knowledge of continuous improvement principles and ability to integrate these principles into team mindset.
- Must successfully pass a background check & drug test.
- Physical Demands: Constant sitting, walking short distances, bending, stooping, twisting, reaching above and/or below shoulder, handling/grasping documents or office equipment, clear speaking and adequate hearing sufficient to communicate effectively and respond appropriately in-person and/or on the telephone, vision sufficient to read source materials and computer screen data, repetitive motions for computer equipment use, lift 25 lbs. occasionally, 5-10 lbs frequently to lift/carry/move objects, files and documents.
- Work Environment: Work is performed in an office environment with air conditioning and bright lights.
