Senior Program Manager
About the role
As a Senior Program Manager on ApotheCom’s Client Services team, you’ll lead the execution of medical communications projects that advance scientific understanding and client objectives. You’ll collaborate across scientific, creative, and digital teams to ensure every deliverable meets the highest standards—on time and within budget.
- Project and Account Management: Manage the full lifecycle of assigned projects, from initiation to reconciliation, ensuring alignment with client goals and medical strategy. Develop, track, and maintain detailed project timelines, budgets, and deliverables to guarantee projects are delivered on time and within scope. Serve as the primary point of coordination between internal functional teams—including Scientific Services, Editorial, Meetings, and Creative/Digital—and external stakeholders such as clients, authors, and vendors.
- Client Communication and Reporting: Maintain consistent and proactive communication with client teams, providing regular updates, meeting summaries, and detailed status reports. Support proposal development, budget forecasting, and scope-of-work documentation for new and existing programs. Anticipate client needs, identify challenges early, and collaborate with internal teams to offer effective solutions.
- Operational Excellence: Establish and maintain organized project documentation, ensuring accurate server file management and project setup. Lead and facilitate internal project meetings, ensuring alignment on priorities, deadlines, and deliverables. Coordinate review and approval cycles across cross-functional teams, managing trafficking and version control efficiently. Oversee financial reconciliation and ensure complete closeout of all project elements post-delivery.
Requirements
Minimum of 3-5 years' experience in medical communications with a role in program management and/or client services.
Prior experience working on publications, medical affairs, and/or commercial projects.
Excellent written and verbal communication and interpersonal skills.
Ability to thrive in a fast-paced environment, work to and within multiple deadlines and across multiple projects.
Financial, administrative, and organizational skills.
Client communication skills – ability to work with client and faculty members.
Attention to detail, ability to prioritize responsibilities and work in a team-oriented environment as well as independently.
Knowledge of Internet searches and Microsoft Windows software.
