Senior Office Support Assistant
Key Responsibilities
- Support alumni and student engagement programs, including Homecoming, Summer Welcome, Legacy, Student Network, awards and recognition programs, affinity groups, volunteer engagement initiatives, and other alumni programs that strengthen connections to Mizzou and advance alumni engagement goals.
- Career coordination program logistics, communications, registrations, vendor relationships, inventory management, and participant tracking for a variety of events and programs designed to create meaningful alumni and student experiences.
- Manage project workflows and communications through ClickUp and other project management tools to ensure timely completion of program deliverables and support efficient, data-informed operations.
- Provide administrative and operational support for the Touring Tigers travel program, including traveler communications, reservation processing, inventory management, website updates, and program tracking.
- Develop and distribute marketing and communication materials, including website content, email campaigns, newsletters, event promotions, signage, graphics, and digital content that increase participation and elevate visibility of alumni programs and initiatives.
- Manage online event registrations, forms, participant records, and reporting through university systems and software platforms to support program evaluation and continuous improvement.
- Provide on-site event support, including event setup, registration, guest engagement, audiovisual coordination, vendor management, hospitality, and post-event follow-up to ensure exceptional participant experiences.
- Perform financial and administrative duties, including budget reconciliation, deposits, payment processing, internal transfers, reporting, and data collection.
- Deliver exceptional customer service by responding to phone, email, and in-person inquiries from alumni, students, donors, volunteers, and university constituents while fostering a welcoming and service-oriented environment.
- Collaborate with campus partners, vendors, student leaders, volunteers, and internal teams to enhance alumni engagement, student programming, volunteer initiatives, and affinity-based connections.
Minimum Qualifications
- Bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary.
Preferred Qualifications
- Strong organizational, communication, and project management skills.
- Experience coordinating events, programs, volunteer initiatives, or customer-facing experiences.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Proficiency with Microsoft Office and database, registration, CRM, or project management software.
- Experience with marketing, communications, social media, or graphic design tools is preferred.
- Commitment to delivering exceptional constituent experiences and building meaningful relationships.
- Willingness to work occasional evenings and weekends in support of events and programs
Shift
Monday - Friday 8am-5pm with some occasional events
Anticipated Hiring Range
Salary Range: $18.00-$20.84 hourly
Grade: GGS-7
