About the Role
The Senior Inventory Management Clerk will assist and support the Horticulture & Grounds Maintenance Department and the Division Manager. This role involves helping resolve contractor badging issues with the Executive Office Assistant, assisting with EAMS documentation, and closing all work orders in a timely manner to maintain departmental inventory and stock levels for general supplies, fencing supplies, uniforms, chemicals including deicing products, construction supplies (cement, rock, stabilizing sand, and soil). The position also prepares purchase requisitions, maintains departmental vehicle and equipment logs, and coordinates repairs with the fleet department. Candidates must be able to obtain all required security badge access, including Customs Border Patrol access, within 6 months from the hire date.
Responsibilities
- Assist with basic contract compliance by maintaining records of and tracking all compliance documentation, including monthly logs, weekly reports, backflow device certifications, drug compliance forms, and confidential compliance forms.
- Maintain and e-file weekly and monthly reports, data, and information.
- Create and monitor DocuSigns for various OSRs.
- Ensure adherence to City and State guidelines for acquisition, storage, distribution, maintenance, and disposition of inventory and associated records.
- Assist in creating, revising, or implementing procedures and guidelines for storage, inventory control, material management, safety, security, or basic accounting practices.
- Receive, unload, unpack, shelve, distribute, and deliver incoming parts, tools, materials, supplies, equipment, and inventory. May assist with moving and loading surplus property.
- Compare and verify incoming inventory for quality, quantity, accuracy, and suitability against invoices, purchase orders, packing slips, specifications, etc.
- Lead and train Inventory Management Clerks. Establish priorities and delegate workload. Oversee and ensure inventory records are accurately maintained. Investigate, report, and resolve minor inventory discrepancies.
- Create and maintain records, logs, etc., of materials received, stored, issued, delivered, or distributed. Perform data entry using a purchasing and inventory control system.
- Oversee, coordinate, and participate in physical inventory counts. Reconcile counts with inventory records and resolve discrepancies.
- Forecast and identify trends to maintain a current inventory of materials in-house and on order. May determine reorder points. May coordinate requirements of divisions that have regular or special needs for supplies.
- Contact vendors to obtain price quotes. May select vendors and place orders for materials and supplies. Prepare requisitions and purchase orders. Perform follow-up to expedite delivery, receipt, and payment of inventory and materials.
- Monitor vendors' compliance with contract prices and contact vendors to resolve order discrepancies. Assist in basic contract administration activities, i.e., pre-bids.
- Maintain storerooms, warehouses, and storage areas in a clean, orderly, safe, and secure condition. Ensure safety and security of materials, supplies, and property.
- Arrange for maintenance and repair of large pieces of equipment and machinery. May perform minor maintenance. Determine and dispose of expired, spoiled, damaged, or obsolete items and inventory.
- Receive and dispatch messages and work orders by telephone or radio to various City work crews. Maintain logs and records of messages and work orders received, transmitted, or completed through EAMS documentation and closing of all work orders in a timely manner.
- Receive, store, and issue hand tools, machine tools, parts, and other equipment. Track tools, parts, and equipment issued to and returned by workers. Search for lost or misplaced tools and equipment.
Working Conditions
- Requires lifting heavy items of up to 60 pounds and/or walking on rough surfaces routinely.
- Regular physical exertion such as climbing of ladders.
- Routine discomforts from exposure to moderate heat, cold, moisture/wetness, and unpleasant air conditions.
- Routine exposure to soiled materials and light chemical substances such as cleaning solutions.
- Requires the ability to make coordinated gross motor movements in response to changing external stimuli within moderately demanding tolerances, or the ability to make coordinated eye/hand movements on a patterned response space within low tolerance demands with no real speed requirements.
Minimum Requirements
- Education: High school diploma or GED.
- Experience: Two years of inventory control, materials management, or record-keeping experience. May require experience in operating a forklift and other motorized or non-motorized materials handling equipment.
- License: May require a valid Texas driver's license and compliance with the City of Houston's policy on driving.
Preferred Qualifications
- Proficiency in Microsoft Office – Word and Excel.
- Experience in inventory management.
- Strong attention to detail and organizational skills.
- Ability to work accurately in a fast-paced environment.

- Work Schedule: Monday through Friday, 7:00 a.m. – 3:30 p.m.
