Shift: Tuesday–Saturday, day shift

About the role

This position provides Health Information Management (HIM) support in maintaining the Department’s paper and electronic health record system. The HIM Specialist Sr ensures compliance with privacy and security guidelines related to patient information, including HIPAA, and maintains confidentiality of all patient data. The role requires proficiency in navigating an electronic health record, clear oral and written communication in English, and the ability to work in a fast-paced environment while building professional relationships.

Responsibilities

  • Perform advanced functions within the Health Information Management Department, including document imaging tasks such as prepping, scanning, quality review, validation, and indexing to ensure timely integration into the Document Management Solution/EMR.
  • Scan and upload medical records into document management applications (e.g., VitalChart ChartFlow, formerly EvriChart) for remote coding access, including data preparation for scanning.
  • Analyze medical records for completion, assign and reassign provider deficiencies in accordance with regulatory guidelines and facility policies.
  • Support missing documentation and provider queries as needed.
  • Complete birth and/or death certificates in accordance with state law, including contacting mothers and fathers within facility-specific timeframes.
  • Perform chart pickup (rounding) and reconciliation.
  • Conduct data integrity duties (e.g., chart correction, duplicate medical record resolution).
  • Meet productivity expectations based on job function (document imaging/document analysis) and maintain productivity metrics.
  • Assist internal and external agencies with patient record requests, prioritizing as needed.
  • Answer phones, process continuity of care requests, record retrieval, and record filing as assigned.
  • Carry out supervisory responsibilities, including interviewing, hiring, training, planning, assigning work, appraising performance, addressing complaints, and resolving problems in accordance with guidelines and applicable laws.
  • Perform other duties as assigned.

Requirements

  • High School diploma or equivalent (required).
  • Two (2) years’ experience in a hospital Health Information Management Department (preferred).
  • RHIT or RHIA Certification (preferred).
  • Proficiency in PC skills, including keyboard operations, Microsoft Office applications, and other required software.
  • Understanding of privacy and security guidelines for patient information, including HIPAA compliance.
  • Ability to work independently, prioritize tasks, and manage multiple assignments efficiently.
  • Strong customer orientation, organizational skills, and quality focus.
  • Ability to communicate clearly and effectively in English, both orally and in writing.

Physical Demands

  • Ability to sit for extended periods.
  • Efficient use of computer keyboard and mouse for coding assignments.
  • Ability to lift up to twenty-five (25) pounds.

Work Environment

  • Exposure to infectious conditions and minor hazards (e.g., muscle sprains, cuts, bruises).
