About the role
The Senior Executive Assistant is a high-impact role that provides executive-level support to the broader C-suite team. This position combines executive operations, administrative excellence, strategic initiative support, and board governance coordination, making it central to the organization’s operations and success.
Essential Functions
- Provide high-level administrative and operational support to the C-Suite team, including expense tracking, complex meeting coordination, travel planning, contract management, and correspondence support.
- Draft, edit, and manage executive communications, reports, presentations, and other materials for internal and external stakeholders.
- Serve as a gatekeeper and strategic partner, prioritizing requests, screening communications, and ensuring efficient workflow.
- Track action items, follow-ups, and key initiatives across the executive team to ensure timely completion.
- Anticipate the needs of executives and proactively address potential issues or requests.
Board Coordination & Governance
- Responsible for being the key liaison (when delegated) for the Board of Directors, managing communications, scheduling, agendas, and materials.
- Take meeting minutes for executive and board meetings, ensuring accuracy, completeness, and timely distribution.
- Facilitate onboarding and orientation for new board members, ensuring they have the resources and information to be effective.
- Ensure compliance with organizational policies and governance standards in all board-related activities.
- Support board meetings, including logistics, documentation, and post-meeting follow-ups.
- Cook up and timely distribute Board of Directors meeting packets, ensuring inclusion of accurate financial reports, compliance documentation, and mission-aligned materials.

- Coordinate dissemination through both print and digital platforms (e.g., Teams, Zoom), supporting transparency and effective governance.
Graphic Design & Digital Communications
- Create graphics, templates, and visual content for digital and print platforms.
- Update and maintain website and intranet content.
- Track engagement metrics and prepare communications reports.
Strategic & Operational Support
- Assist with the planning and execution of cross-departmental initiatives and projects.
- Collaborate with internal teams to ensure alignment of executive priorities and organizational goals.
- Conduct research, analysis, and reporting as requested to support executive decision-making.
- Identify opportunities to improve processes, workflows, and communication systems across the organization.
- Function as a backup for the Communications Department for executing external communications.
Collaboration & Teamwork
- Work cohesively with the Communications team and other departments across the organization.
- Provide cross-departmental support to ensure consistent messaging.
- Field requests from departments for communications support.
- Represent the Communications Department with professionalism and a solution-oriented approach.
Minimum Requirements
- Expertise in the following areas, typically gained from 3-5+ years supporting C-Suite Executives:
- Experience with Board governance, with working knowledge of CA Corporate Compliance Code
- Exceptional organizational skills with the ability to manage multiple priorities across executives and projects.
- Excellent verbal and written communication skills, with a high level of professionalism and discretion.
- Proficiency in Microsoft Office Suite, Teams, SharePoint, Salesforce, and productivity tools.
- Demonstrated judgment, initiative, and the ability to handle confidential information.
Preferred Background
- Knowledge of nonprofit law is strongly preferred.
- Bachelor Degree in Business Administration or related field, strongly preferred.
- Ability to collaborate effectively across a broad spectrum of backgrounds and perspectives.

Pay Range
$66,678.67 - $84,328.91 per year
