About the role

Light of Life Rescue Mission, a faith-based ministry serving the Pittsburgh area since 1952, seeks an experienced Senior Executive Assistant to provide high-level support to senior leadership in a fast-moving environment. This role is ideal for a professional administrator who takes ownership of priorities, manages sensitive information with care, and brings structure to complex schedules, communications, and administrative workflows. The successful candidate will serve as a vital communication link between directors, staff, and the Executive Director while representing Light of Life's vision and mission to community partners.

Responsibilities

  • Field phone calls, coordinate meeting requests, and manage interdepartmental communication.
  • Arrange and minute Board of Directors and management meetings, including client meetings.
  • Manage the Executive Director’s schedule, liaise with other directors and the Board Chair, and coordinate donor communications at a high level.
  • Set up and coordinate organization planning meetings to support team efficiency and ensure alignment with organizational outcomes.
  • Provide direct support to the Senior Management team, particularly in meeting organization and planning targets.
  • Assist the Chair and Executive Director in preparing information for presentations and media interviews.
  • Reconcile credit card charges and facilitate payments by generating purchase orders using an online system.
  • Walk alongside clients as a disciple of Christ, sharing the Gospel through actions and words, and establish trust in a safe, authentic environment.
  • Serve clients and co-workers lovingly, practice a self-evaluative lifestyle, and resolve issues in alignment with the Mission’s core values.
  • Help clients make choices that align with their eternal best interest and model Christ-like stewardship of all resources.
  • Practice personal responsibility, accountability, timely reporting, and a self-evaluative lifestyle.

Requirements

  • Bachelor’s degree required; liberal arts or management preferred.
  • Five years of high-level executive assistant experience; nonprofit setting preferred.
  • Experience with addiction, recovery, and working with homeless persons desired.
  • Comfortable working autonomously across multiple tasks with strong self-management and organizational skills.
  • Proficient in Microsoft Word, Excel, and Outlook.
  • Excellent social skills and ability to adapt to change and meet tight deadlines.
  • Commitment to Light of Life’s faith-based mission and values, including maintaining a drug-free community. Staff may not use or consume controlled substances like marijuana, even if prescribed.
