Senior Event ProducerCrawford Group (www.crawfordgroup.com) is seeking an experienced Senior Event Producer to lead the planning and production of corporate events and experiences for one of our key high technology clients. This is a hybrid role for those residing within the San Francisco Bay area only. This role will serve as a primary client-facing production partner, translating event objectives and creative concepts into detailed, executable production plans. The ideal candidate comes from an event agency, experiential agency, or production agency environment and is accustomed to working directly with corporate clients while managing multiple third-party vendors. This person should be equally comfortable leading a client meeting, reviewing a production budget, evaluating a stage design, negotiating with an A/V partner, managing a studio shoot, and running an on-site production schedule. This is a hands-on producer role requiring strong knowledge across A/V and technical production, staging, scenic and décor, rentals, studio production, broadcast/streaming, venue operations, and potentially food and beverage. Key Responsibilities: Event & Production Management:Lead events from initial planning through production, on-site execution, reconciliation, and post-event reporting.Develop detailed event plans, production schedules, timelines, decision deadlines, and action trackers.Lead or participate in weekly client and vendor meetings, documenting decisions, action items, owners, and deadlines.Proactively identify production risks, dependencies, budget concerns, and schedule conflicts and recommend solutions.Develop comprehensive run of show documents and manage rehearsals and show execution.Coordinate speaker preparation, presentation deadlines, rehearsals, deck collection, and print asset delivery.Manage event shipments and maintain detailed shipment tracking and contingency plans.Conduct site inspections and document production requirements, opportunities, limitations, and recommendations.Serve as the lead on-site event manager/producer as assigned.Develop post-event reports, lessons learned, and recommendations for future programs. Technical Production & Vendor Management:Source, brief, manage, and negotiate with third-party event and production partners.Manage A/V, lighting, sound, staging, scenic, décor, furniture and rentals, carpeting, rigging, power, internet, studio production, video shoots, broadcast/streaming, and other production vendors. Coordinate food and beverage requirements when included within the event scope.Translate client requirements into clear vendor scopes of work and evaluate vendor proposals for completeness, feasibility, and cost.Review production drawings, equipment plans, stage/set concepts, technical requirements, and vendor schedules.Manage studio shoots and broadcast productions, including coordination between client stakeholders, production crews, technical teams, and talent.Confirm venue-provided services and infrastructure including rigging, power, internet, tables, chairs, risers, entertainment, décor, access times, and load-in/load-out requirements.Build integrated production schedules covering all vendors and venue partners.Ensure vendors deliver against agreed scope, schedule, quality, and budget. Creative & Experience Development:Partner with clients and creative teams to develop stage, scenic, décor, opening moment, and overall event experience recommendations.Develop and/or manage creative proposals for stage sets, décor, and event environments.Recommend speaker and VIP gifting concepts as needed.Balance creative ambition with production feasibility, timing, venue constraints, and budget. Budget Management:Develop detailed event budgets with individual vendor and production components.Solicit, evaluate, negotiate, and manage third-party vendor estimates and fees.Maintain accurate event forecasts and provide monthly budget reporting.Track changes in scope and clearly communicate their budget impact to the client.Review vendor invoices and complete final event budget reconciliation. The Senior Event Producer will be responsible for developing and maintaining deliverables including:Detailed event plan and timelineWeekly meeting notes and action itemsDeliverable and decision deadlines with proactive risk alertsStage set, opening moment, and décor proposalsDetailed event and vendor budgetsNegotiated third-party vendor scopes, budgets, and feesVenue services and production requirements trackerMonthly event budget reportsSite inspection reportsIntegrated vendor production and load-in/load-out schedulesRun of showSpeaker preparation and rehearsal communicationsSpeaker deck and print asset trackingShipment tracker and risk alertsSpeaker and VIP gifting recommendationsOn-site event managementPost-event report and recommendationsFinal reconciled event budget Qualifications:5+ years of experience producing corporate events, experiential programs, conferences, executive events, broadcasts, or similar live experiences.Previous experience working within an event, experiential, creative, or production agency strongly preferred. Demonstrated experience working directly with corporate clients and serving as a trusted, client-facing production lead.Strong hands-on knowledge of A/V and technical production, staging, scenic, décor, rentals, venue operations, and live event production. Experience managing studio shoots, video production, livestreams, virtual events, or broadcast productions. Experience managing multiple production vendors simultaneously and integrating their work into a single production plan.Experience developing and managing detailed event budgets, vendor estimates, purchase decisions, change orders, and reconciliation.Strong vendor negotiation and scope-management skills.Ability to understand technical production requirements and communicate effectively with both technical teams and non-technical client stakeholders.Excellent project management skills with exceptional attention to detail, organization, and follow-through.Strong written and verbal communication skills with the confidence to lead client and vendor meetings.Calm, solutions-oriented approach to changing priorities and live production challenges.Ability to work evenings, early mornings, and occasional weekends based on production schedules. Location: San Jose, CA / South Bay Area (CAN LIVE IN GREATER BAY AREA)Work Model: Hybrid with required on-site support for meetings, site visits, rehearsals, production, and events.Hours per week: Part-Time (0-30 HPW) as a variable, W-2 Consultant of Crawford Group.Rate: $65-$70 Per/Hr. as a W-2 consultant of Crawford Group; benefits available if eligible (Our salary ranges are determined based on skills, experience and location).
