Senior Coordinator - Cottage Rentals (Full Time)

About the role

You are an integral part of the Sea Island Cottage Rentals operation. You will serve the Cottage Operations, to include Maintenance, Owner Services, Housekeeping and Concierge team, by providing luxury experiences and Sea Island care that our guests and owners deserve and expect.

Responsibilities

  • Deliver extraordinary Owner and guest experience daily.
  • Support team members in providing friendly, attentive, and timely Five Star guest service.
  • Leverage your passion for genuine hospitality to enrich lives.
  • Coordinate work orders to ensure timely completion/reporting for further repair through Property Services or vendors.
  • Analyze trends and assist Operations Leaders in planning to determine next steps.
  • Aid the Housekeeping Coordinator with daily duties as needed and directed.
  • Coordinate with housekeeping/maintenance leadership to stay abreast of maintenance issues and assist in solving.
  • Assist Owner Services department with timely processing/posting of invoices/charges to owners related to maintenance/inventories of cottages and onboarding follow up.
  • Assist Concierge with ensuring the administrative and reservations tasks to completion and offering support to Front Office through possible team member assistance and/or direction by utilizing critical thinking.
  • Develop and maintain pars and inventories of kitchen equipment, guest loaner items, linens, lightbulbs, uniforms, and other miscellaneous guest and operating supplies.
  • Manage guest loaner items and ensure owners are charged for replacement/repair.
  • Minimize costs of above items through bulk ordering, partnering with Purchasing Department, and other methods.
  • Assist with and help maintain key/linen inventories.
  • Process invoices, approve timecards, schedule staff, schedule work orders, bill owners, coordinate new Owner onboarding, manage and maintain Owner and Social reservations experience, and review monthly statements.
  • Uphold and ensure compliance with departmental procedures, including standards for quality, timing, attendance, appearance.
  • Maintain situational awareness of your surroundings, keeping an eye on all areas for tidiness and any general maintenance issues, ensuring that all are corrected or reported immediately.
  • Resolve service issues that arise in a timely and positive way, following up as needed.

  • Lead by example in training, development, and scheduling of team members.
  • Work as a liaison between Front Office/Guest Services and other resort operations teams, working especially closely with Housekeeping, Engineering, Reservations and Accounting.

Requirements

  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word)
  • Excellent written and verbal communication skills in English
  • High School Diploma required / Some college or degree preferred
  • Minimum of three (3) years related leadership experience, or equivalent combination of education and experience
  • Knowledge of inventory systems preferred
  • Possess a valid Georgia driver’s license and maintain all Sea Island driver requirements
  • Position will be required to drive a Sea Island Company vehicle
  • Timeliness and flexibility-you agree to work a flexible schedule. We work at peak business hours, which for us includes weekends, early mornings, evenings, Sundays and holidays. Unless otherwise defined by the General Manager.
