Job Details
The Billing Specialist provides high-level billing and administrative support within a project-based accounting environment. This role partners closely with project managers to manage multiple projects, billing types, and deadlines while maintaining a high level of accuracy and organization.
Key Responsibilities
- Aid with new project and job setup, including data entry, tracking, and reporting
- Prepare, review, and issue monthly draft and final invoices
- Maintain accurate job cost, billing, and project data within accounting systems
- Organize and maintain confidential project records and files
- Review and process invoices for accuracy and completeness
- Prepare and distribute scheduled and ad hoc reports
- Support monthly billing cycles and project closeout activities
- Manage billing-related communication with internal teams and external clients
- Identify discrepancies and escalate issues to ensure timely and accurate billing
- Provide ongoing administrative and billing support to project managers
Minimum Qualifications
- 1–2 years of experience in billing, clerical, construction accounting, or job cost (T&M) accounting
- Strong proficiency in Microsoft Excel and Microsoft Office
- High attention to detail with strong data accuracy skills
- Effective verbal and written communication skills
- Ability to manage shifting priorities in a fast-paced environment
- Strong analytical, mathematical, and financial tracking skills
Preferred Qualifications
- Prior invoicing or billing experience
- Experience supporting project managers in a project-based environment
- Deltek experience preferred
